Seeking a teacher interested in breaking into the tech start up world

The Role:

We're seeking an exceptionally organized, reliable, and proactive individual to support our Founder/CEO Alex in myriad different ways.

This role blends some elements of traditional Executive Assistant (EA) and Chief of Staff roles, with additional responsibilities akin to a full-time Coach.

The focus is on enhancing the CEO's effectiveness by managing and guiding his focus, schedule, priorities, energy, and workflow. Doing this well would have an outsize impact on the trajectory of the company.

You would be working alongside our Operations Manager (and former/interim EA) Katie, who can show you the ropes, and our Office Manager, Alyson.

Ideal Candidate:

You’re whip-smart and high-achieving, but your #1 passion is supporting others (by pushing, nurturing, mentoring, coaching, aiding, etc). You have big ambitions and your preferred way to see success is through one or more people you’re responsible for uplifting.

More specifically, you are:

  • Phenomenally organized, reliable, and planful

  • Smart, creative, curious, and resourceful

  • Skilled, concise writer / communicator

  • Able to see around corners and manage chaos with a smile

  • Confident enough to guide a strong-willed CEO

  • Patient and persistent, with high emotional intelligence

  • Adept at developing systems to enhance productivity

Qualifications:

We're open to candidates from diverse backgrounds and experience levels. You might be:

  • An experienced EA looking for a new challenge at a fast-growing company

  • A former teacher with a magical ability to help bright students with ADHD (like our CEO) show up on time and get their homework done

  • A recent graduate with exceptional organizational skills and a track record of leadership

  • A mid-career professional from any field with a talent for bringing order to chaos

The most important qualities are your organizational skills, reliability, and ability to work effectively with a CEO who has unique working styles and needs (details below).

Tech Proficiency:

You are super proficient with at least one productivity tool like Google Sheets, Notion, or Airtable (and probably can rant about why you love that tool).

You are a fast and accurate touch-typist.

Key Responsibilities:

  • Help CEO set & achieve high-quality goals on daily, weekly, monthly, quarterly, and annual bases. This includes holding the CEO accountable and helping problem-solve when things veer off-track.

  • Log in to the CEO's email inbox on a daily basis for triage, responding as the CEO to simple matters and highlighting critical messages for urgent action.

  • Develop and implement systems to improve the CEO's time management, focus, and productivity, evolving them in response to constant change

  • Manage complex calendaring and scheduling to ensure optimal use of the CEO's time

  • Anticipate potential issues and proactively develop solutions well before problems arise

  • Collaborate directly with the CEO on key documents (JD’s, strategy memos, investor updates, etc), acting as sounding board for making key decisions

  • When the CEO is responsible for tasks prone to procrastination, help keep him focused on them instead of email (up to 1-2h/day)

  • Coordinate travel arrangements and itineraries

  • Maintain strict confidentiality in all matters

Non-responsibilities:

  • Gatekeeping

  • Regular travel

Success Metrics:

Within 3-6 months, you should:

  • Implement systems that noticeably improve the CEO's punctuality and task completion

  • Gain the CEO's trust to manage his email, including drafting responses, archiving low-priority messages, and highlighting critical communications

  • Prioritize his tasks effectively on an hourly, daily and weekly basis

  • Help ensure he's prioritizing his goals and the company's goals effectively on a monthly, quarterly, and annual basis

  • Demonstrate ability to keep the CEO focused on high-priority items and punctual to important meetings

  • Be a consistent source of good vibes 😎🤠

Work/life balance:

This is a ~50h/wk, primarily in-person, moderately flexible job – you'll work hard and be supported as a full human.

Typically, you will work from our bright, plant-filled Soho-area office 5 days per week, ~8:30am til ~5:00pm (or later if you like).

You'll have flexibility to duck out whenever you need to during the day (e.g., for an appointment or even an exercise class), work remotely or work from home on occasion, and take time off whenever you need (including a weeknight, a weekend, or a normal workday).

At home, you'll often have ~30-60min of email/slack/scheduling on a typical evening or weekend day, but you shouldn’t need to be constantly glued to your phone.

If you’re able, collaborating for 4-6h per weekend would be a big plus. This is the CEO’s primary time for deep thought work.

Hi, I'm Alex! I love yoga, climbing, dancing, skiing, etc. I live at the border of Clinton Hill and Bed-Stuy in a shared apartment and love riding my bicycle into the office every day.

You might catch me excitedly explaining API architecture while still wearing my bike helmet, or searching frantically for my phone... while it's in my hand.

I’m pretty ADHD, and while I generally thrive in chaos I also value structure and organization and could use some help with this.

As you can imagine, I’m driven and ambitious. I can be intense and particular.

I am often silly and, ah, quirky (proof: https://archive.is/E90J0) – though I definitely cannot compete with your Bushwick friends.

I love me my fruits and veggies. To show that you have read this post thoroughly (sorry it’s so long) please tell me about your favorite fruit or vegetable in your application. I promise not to lecture you about the benefits of arugula... too often.
