This position functions as the primary Arizona Criminal Justice In formation System (ACJIS) operator for the Background Investigations Unit (BIU).This position may offer the ability to work remotely, within Arizona, based upon the department's business needs and continual meeting of expected performance measures.Job Duties:- Conducts criminal history checks for all new hires (employees, contractors, interns); administrative updates, internal affairs inquires, promotions, and transfers- Ensures information obtain from the ACJIS is accurate prior to filing electronically- Creates and maintains e-files- Provides assistance with centralized administrative services including file generation, file maintenance, email notifications to hiring authorities and facilitating office management to aid both the BIU and staff in the field- Analyzes programs and processes with the BIU and develops/recommends improvements in the systems to aid in maintaining/organizing information providing a better quality product/process within the BIU- Assists the BIU Supervisor by managing inventory, master databases and investigator productivity information- Drives on State business- Performs other duties appropriate to the assignmentKnowledge, Skills & Abilities (KSAs):Knowledge of:- Federal and state laws, statues and regulations pertinent to area of assignment- ADCRR policies effecting area of assignment- Principles and practices of administration and management- Composing business correspondence, reports and technical procedures- Personal computers and various software, including Microsoft Word and Excel- Business English, spelling, and grammar, sentence structure and punctuation- Research methodologiesSkill in:- Prioritizing work assignments, analyzing, researching, and problem solving- Interpreting and summarizing data and agency policies- Data processing, conducting thorough research/gather information and compile data- Developing and generating a wide variety of reports and correspondence- Verbal and written communication- Public speaking- Mathematics and basic accounting techniques- Establishing and maintaining interpersonal relationships- Applying organizational techniques/methods, time management- Multitasking- Customer service- Detailed oriented and analyticalAbility to:- Work in a fast paced environment- Track assignments- Meet deadlines- Write clear, concise report and technical procedures- Respond to requests- Independently make decisions- Conduct physical inventories- Work in a prison environment- Travel occasionally, including overnight stays- Work independently with minimal supervision- Professionally interact with peers, supervisors and managers at all level of the agencySelective Preference(s):- Prefer a minimum of two (2) years of experience working in administrative/secretarial fieldPre-Employment Requirements:In an effort to maintain a safe environment, all employees are required to take a Tuberculosis (TB) test during their New Employee Orientation and every year thereafter.If this position requires driving or the use of a vehicle as an essential function of the job, then the following requirements apply. Any employee operating a motor vehicle on State business must possess and retain a current, valid class-appropriate driver’s license, complete all required training, and successfully pass all necessary driver’s license record checks. The license must be current, unexpired, and neither revoked nor suspended. Employees who drive on state business are subject to driver’s license record checks, must maintain acceptable driving records, and must complete all required driver training. An employee who operates a personally owned vehicle on state business shall maintain the statutorily required liability insurance (see Arizona Administrative Code (A.A.C.)
