ARIZONA DEPTARTMENT OF LIQUOR LICENSES AND CONTROLThe mission of the Department of Liquor Licenses and Control (DLLC) is to protect public safety and support economic growth through the responsible sale and consumption of liquor, and to efficiently license qualified applicants.OPERATIONS SUPPORT SPECIALISTJob Location:800 West Washington StreetPhoenix, AZ 85007Posting Details:Salary: $50,000 - $60,000 (DOE)Grade: 19This position will remain open until filledJob Summary:Under the direction of the Agency's Program Administrator (Operations), this position is largely clerical and will assist with the completion of forms, setting agency records to template structures, reviewing written documents for basic grammar and understanding, training, and meeting schedules.Work includes business in the general areas of human resources, policy & procedure, records retention, and training.This position may offer the ability to work remotely, within Arizona, based upon the department's business needs and continual meeting of expected performance measures.Job Duties:Policy and Procedure:• Assist with policy writing and development• Ensure agency policies, procedures, and guidelines are formatted correctly, clearly easy to understand, and published• Work to include writing and creation; formatting; ensuring written work meets style guides for government services; managing review and approval process; handling and recording the dissemination of completed work to internal staff; posting completed records to the website; and archiving record files and logsHuman Resources:• Assist with the completion and submission of personnel forms and decision packages; filing; assisting in facilitating recruitment processes, assist with new employee onboarding and employee separation from duty; assisting in facilitating training and associated calendars• Liaising with outside agency support services; and compiling and facilitating periodic and annual reports and surveysRecords Retention Administration:• Facilitate, record, schedule for destruction, or send for archive department records based on state retention schedules• Liaison with outside agency support services as requiredMiscellaneous:• Attend meetings and training as assigned; scribe or keep meeting minutes; and provide support to the Program Administrator (Operations) as needed to promote the orderly delivery of services from the unitKnowledge, Skills & Abilities (KSAs):Knowledge:• Proper etiquette and behavior associated with work in a professional office environment• Current principles, practices, and methods used in the administration of human resources; federal and state employment laws; statutes, rules, and regulations; agency policies; principles and practices of modern organizational development• Adult learning models and training methods• State retention schedule and requirements on recording, destroying, and archiving records as required• MPA writing style guide• Physical and electronic filing systems• Microsoft Office, Google Suite, and Adobe Office solutions. Arizona Management System (AMS), Lean, or Six Sigma certification, training or experienceSkills:• Proficient English language: speaking, writing, and reading• Fluent in other languages a plus. Technical writing• Adherence to formatting and style guide requirements• Understand and follow directions• Independent work and group work• Typing: speed and accuracy• Managing schedules (self and others), developing meeting agendas, managing meeting minutes, packaging and distributing post-meeting recap reports, and compiling records• Facilitate meetings• Meet deadlines, and be respectful of others' deadlines• Training, managing calendar, developing course materials and test elements, facilitating and delivering trainingAbilities:• Write clear, concise, and accurate documents• Attention to detail and accuracy• Compile data and incorporate data into written work• Ability to effectively coordinate the activities of multiple ongoing projects• Organize competing work responsibilities and ability to meet deadlines• Follow directions• Develop and manage relationships• Effectively problem-solvingSelective Preference(s):• SHRM certification, Lean or Six Sigma certifications, and/or vocational or above schooling in one or more of the respective performance areas preferred• Two years of professional work experience in a position completing one or more of the respective performance areas is preferredPre-Employment Requirements:• If this position requires driving or the use of a vehicle as an essential function of the job to conduct State business, then the following requirements apply: Driver’s License Requirements.Benefits:The State of Arizona offers a comprehensive benefits package to include:• Optional employee benefits include short-term disability insurance, deferred compensation plans, and supplemental life insurance• Life insurance and long-term disability insurance• Vacation with 10 paid holidays per year• Health and dental insurance• Retirement plan• Sick leaveLearn more about the Paid Parental Leave pilot program here.
