Job Description:

Main responsibilities / job expectations

Admin support to Head of SBE & Team Coordination

  • Ensure proactive diary management and resolves any conflicts of diary
  • Be the preferred point of contact for responding to and handling queries from any stakeholders
  • Manage travel & expenses for the Head of SBE, accommodation and related itineraries, in compliance with the company policies and procedures
  • Organize and coordinate meetings both on and offsite, build meeting agendas
  • Ensure minute-taking of Leadership Team meetings and act as project management officer for SBE to ensure that actions are followed up on
  • Prepare agendas and circulate any related documentation prior to the meetings

Documentation

  • Ensure that the SBE LT has all relevant documentation for meetings, to implement/maintain an efficient storage and retrieval system for all documentation, inc. SharePoint
  • Design and implement filing systems and ensure they are maintained updated
  • Ensure security and confidentiality of data

Budget follow up & Purchase orders

  • Deal with Purchase Orders, checking all invoices and tracking payments
  • Manage service contracts with suppliers in close collaboration with Corporate Legal Affairs/Purchasing
  • Responsible for general administrative duties as required by the office management (i.e. ordering stationery)
  • To ensure all actions are conducted through ethics & compliance company policy & flag when a risk is identified

Education / Certifications:

Bachelor’s level. Demonstrated competences in supporting/working in high level organizations. Minimum of 5-year experience. Proficient with current Microsoft Office and SAP applications

Languages:

  • English, French is a plus

Key Technical competencies required:

  • Excellent calendar management skills, including the coordination of complex meetings
  • Excellent written and verbal communication skills
  • Ability to take the initiative to review, prioritize, and make decisions as to what is routine versus what is critical, with little supervision
  • Adaptability
  • Ability to interact with all levels of stakeholders in an organization
