About the Role

Under the supervision of the Supervisor, Operations Programs/Business Manager of the Port Authority Bus Terminal, and the Supervising Office Assistant, the selected candidate will be responsible for office duties, which include but are not limited to all aspects of timekeeping pertaining to Operations and Maintenance Staff,  The selected candidate will also be cross-trained in the job functions of the other clerical staff to provide clerical support including, but not limited to, timekeeping for another unit and the TransitChek Program.

 

 

Responsibilities

  • Entering Timekeeping in PeopleSoft for Operations and/or Maintenance Staff.
  • Processing and maintaining accurate records for petty cash including safety shoe purchases].
  • [Sorting and filing reports and timekeeping records, overtime by reason reports, maintaining employee balances and monitoring the sick absence control program.
  • [Entering invoices in SAP, entering data in WorkCloud as the Coordinator.

 

Additional Information

  •  Applicant’s attendance and job performance records will be reviewed in accordance with Port Authority policy. Absence will be evaluated over a rolling 3-year period as of the closing date of this job posting.  Candidates must have 3 or fewer sick absence occasions and 11 or fewer sick days in 2 of the last 3 years.  Sick absence occasions/days related to IOD's, hospitalization, and maternity leave are excluded.  All other absences are included.  Applicants with 4 or more sick occasions or 12 or more sick days in 2 of the last 3 years are not eligible for further consideration for this opportunity.

 

Minimum Qualifications

 

  • Applicants must hold a Technician level (C-14 to C-17) position or above
  • Applicants must meet all qualifications for Band III titles identified in the Administrative Testing Series Bulletin.
  • Applicants must meet performance standards and have completed all probationary periods at the time of appointment to the position. 

 

Desired Qualifications

 

  • Demonstrated ability to utilize initiative to complete assignments with general instructions and minimal supervision while working under pressure to meet tight deadlines, handle multiple tasks simultaneously; prioritize and complete assignments in a timely and competent manner.
  • Demonstrated thorough knowledge of Port Authority policies and procedures.
  • Demonstrated knowledge of PeopleSoft timekeeping, SAP and Schedulesoft.
  • Demonstrated knowledge of PC applications (MS Word, Outlook and Excel).
  • Demonstrated experience with O/M/P timekeeping policies and procedures.
  • Demonstrated excellent interpersonal, organizational, written and verbal skills.
  • Demonstrated knowledge of TWU, BTU, IBEW, UOAT, IUOE and USWU-IUJAT Memorandum of Agreements.
