Job Description
This position is located in Twin Falls, Idaho outreach campus serving a caseload of 150 participants. The successful candidate will provide administrative support to the overall program processing and managing key federal and university documentation for the TRIO programs based in Magic Valley Idaho. This position will also establish, coordinate, and conduct activities to inform low-income, first generation adult participants about available financial aid and post-secondary education opportunities; to assist them in selecting, applying for, and gaining financial assistance in enrolling in programs of post-secondary education.
Key responsibilities include:
Administrative Support (80%)
- Ensure each new student’s information is entered into the TRIO participant database, tracking spreadsheets, etc., and create a physical file for each new student
- Process travel, P-card forms, mileage, and other financial documentation, ensuring compliance with grant/university/unit/program policies and regulations and allocating expenses across grants
- Process all hiring documentation – EPAF’s/PR’s (yearly, allocation changes, new hires, termination, etc.
Recruitment & Academic Planning (10%)
- Responsible for active recruitment of 150 participants and securing appropriate documentation for their eligibility (responsible for ensuring that two-thirds of students are both 1st generation to college and meet federal low-income guidelines)
- Represent the programs at events promoting the mission of TRIO and services provided
- Conduct outreach and establish partnerships with community organizations and other stakeholders throughout the Magic Valley
- Provide academic assistance to participants, such as college class selection, study skills, goal setting, time management, academic success, career interest inventories, financial literacy, and technology
- Develop and maintain working and trusting relationships with participants while ensuring program services are provided as outlined in the federal grant
- Provide information to participants regarding post-secondary opportunities including admissions, financial aid (FAFSA), scholarship searches, post-secondary course selection, Internet college searches, college transfers, GED, ESL, college preparation courses, vocation training, etc.
Documentation (10%)
- Maintaining accurate and confidential records for a caseload of 100 participants
- Participating in staff meetings, in-service training, committees and conferences to better understand and maintain a working knowledge of educational programs, policies, requirements, student services, advising and the building of a professional network
Minimum Qualifications
- Associates degree or equivalent experience
- Excellent interpersonal and communication skills
- Experience in office support functions including word processing; filing; maintaining information in spreadsheets and databases; composing a variety of business documents; and researching, compiling and summarizing data
- Experience working independently solving problems/performing liaison activities in a work setting; coordinating activities requiring complex arrangements, organizing and maintaining paper and digital files
- Must have access to and use of own transportation
Preferred Qualifications
- Experience in customer service and office/business management
- Knowledge of recruitment strategies for limited-income and first-generation adult participants
- Experience in working with underrepresented adult serving populations
- Candidates with similar personal, socioeconomic, cultural, or academic backgrounds to target populations preferred
- Experience with state or federal record keeping
Additional Information
