Job Summary

The job administers programs and fundraisers designed to engage the alumni community worldwide, increase participation, and advance the objectives of the Alumni Associations, the broader University and divisional alumni initiatives. Works with the Alumni Board of Governors or other divisional groups to create and implement guidelines to govern shared interest groups through receiving a moderate level of guidance and direction.

Responsibilities

  • The Assistant Director of Alumni Engagement (Assistant Director) manages alumni programs for the Medical & Biological Sciences Alumni Association (MBSAA). Their responsibilities include, but are not limited to; planning and coordination of alumni events; coordinating alumni-student volunteer programs; serving as project manager for Alumni weekend; staffing Reunion class chairs; assisting the Senior Associate Director of Alumni Engagement in staffing.

  • Manages large, complex MBSAA programs, including but not limited to: student engagement events, regional alumni events, Alumni Weekend and virtual events.

  • As part of alumni outreach, they implement a strategic plan and oversees programming and coordination for all alumni volunteer programs, including but not limited to the 'Chicago Partners' programs, as well as various student/alumni events.

  • Partners with the Senior Associate Director and events team to lead Alumni Weekend. These responsibilities including program development, handling alumni registration issues, and management of the communication and program development timelines.

  • Will plan and support Alumni Council programs and committees, Alumni Weekend, and local annual Chicago-area events.

  • Will staff Reunion Class Chairs as needed, and may collaborate with MBSD fundraisers in fundraising efforts for certain classes. Assists with scheduling and briefing the leadership of MBSD and UCM to ensure their involvement in Alumni Weekend.

  • Will implement a program that fosters connections between current students, alumni and the alumni association. This includes, but is not limited to student/alumni events such as specialty roundtables, Discussion on Careers series, Dinner with a Doc, etc. and quarterly communications.

  • Develops, plans, implements and maintains alumni programs and volunteer activities that connect students and alumni in any existing or new alumni clubs and formed committees.

  • Identifies, cultivates, and trains volunteers and alumni leaders to help with committees and design programs to engage students and alumni in meaningful ways to advance objectives of the alumni association and broader University.

  • Performs other related work as needed.


Minimum Qualifications

Education:

Minimum requirements include a college or university degree in related field.


Work Experience:

Minimum requirements include knowledge and skills developed through 2-5 years of work experience in a related job discipline.

Preferred Qualifications

Experience:

  • A minimum of one year of experience working with students, volunteers, alumni, or similar constituent groups.

  • Event planning or customer service experience.

  • Experience working in a not-for-profit institution.

Preferred Competencies

  • Ability to organize meetings, facilitate planning, negotiate with articulate alumni, and adapt to changes in volunteer schedules and priorities.

  • Demonstrated skill and knowledge of, or ability to learn quickly, the internal workings of the University as well as the technology tools, including the Alumni Development Database System Griffin, and Microsoft Outlook, Word, Excel, and PowerPoint.

  • Strong oral and written skills.

  • Strong organizational skills.
