SummaryUnder the direct supervision of Director of Analytics and Compensation, this position provides administrative and secretarial support for the Director of HR Chicago, the Director of HR Corporate, the Director of Benefits, and the Director of HR Strategy and Operations, as well as the corresponding teams of these directors.Duties and Responsibilities• Schedule and organize complex activities such as meetings, travel, conferences and department activities• Assist with lawyer and staff new hire orientation logistics (conference room, PPT, new hire folders, gift bags and paperwork)• Audit and scan corporate and local Chicago new hire paperwork to personnel files; retrieve information from electronic personnel files when needed• Maintain current electronic personnel files for lawyers and staff• Utilize Microsoft Word, Excel, PPT, Visio, and other organizational chart software to edit and create general correspondence, memos, charts, presentations, etc.• Coordinate attestation process with local offices including in person trips to consulate, secretary of state, county building, etc.• Assist with administrative projects, mailings, and testing for annual insurance renewal process• Assist with lawyer and staff performance appraisal tasks including entering late appraisals, organizing electronic review binders, and various other associated tasks for the analytics team as well as the Chicago HR team• Assist with departing employee paperwork and logistics• Communicate notary procedures to all active Chicago notaries• Maintain lawyer and staff open position logs and audit logs• Route policy questions to the appropriate human resources team or director• Work in cooperation with/fill in for other HR Administrative Assistants during absences• Act as a liaison with other departments and outside agencies• Perform other related duties and special projects as required and assignedQualificationsTo perform this job successfully, an individual must be able to perform the Duties and Responsibilities (Duties) above satisfactorily and meet the requirements below.
