Its programs and services affectnearly 4,000 graduate students and almost 90 graduate degreeprograms. The Graduate School values discovery, inclusiveness,service, fairness, responsibility, excellence, and community.Position SummaryThe Events Coordinator is responsible for the design, planning,promotion, execution, and evaluation of events including workshops,seminars, guest lectures, conferences, meetings, and receptions forthe Graduate School. The Events Coordinator is responsible forleading event projects from start-to-finish in coordination withGraduate School leadership and stakeholders. This includesassessing necessary service and operational needs for events suchas space needs, scheduling rooms and space, planning and securingcatering, determining audio-visual requirements and ensuringcomplete setup, advertising and promoting events, managing RSVPlists, and directing the design and production of event materialssuch as name tags, brochures, and packets. The Events Coordinatorwill also be responsible for ensuring all events are in compliancewith institutional policies, procedures, and rules, and explainingpolicies, procedures, and rules to others. The person in thisposition will be on-scene during events to manage and direct allevent operations from opening through clean-up and closing and toensure quality delivery of the event. The Events Coordinator mayprovide lead work and oversight.The Events Coordinator will be responsible for developing anevaluation and post-event review process to determine eventquality, value, and overall success. The Events Coordinator willmake recommendations to Graduate School leadership about futureprogramming based on the results of the evaluations.The position will also direct the design of promotional materialsand communications around events including but not limited to webcontent, social media, MailChimp, and listserv messaging. Theperson in this position will manage multiple projects at the sametime. Some events repeat each year or term, and others will beoffered a single time.Work ScheduleThe employee will keep regular working hours, except when eventsfall outside of those hours.Minimum Requirements• Three years of office experience which included two years atfull performance level and experience generating documents;and• Lead work responsibility or coordination of officeprocedures.Professional Competencies• Ability to establish priorities, manage shifting priorities,and handle numerous time-sensitive projects with multipledeadlines.• Ability to communicate effectively (in writing, in person, onthe phone) with individuals from diverse backgrounds andcultures.• Ability to work collaboratively in a team environment and alsowork independently.• Proficiency with word processing, mail merge, social media, webpublishing, meeting registration programs (Qualtrics, Google form,etc.), and graphics programs.• Excellent organizational skills and attention todetail.• Ability to stay within a budget on projects and events.Preferred Qualifications• Two years of experience organizing and executingevents.• Experience coordinating, organizing, or facilitating multipleevents.• Demonstrated creativity, problem-solving skills, takinginitiative, judgement, and on-the-spot decision-making.• Experience working in a higher education institution and/orwith graduate students.• Experience in project management and using project managementsoftware (Trello, Asana).• Experience with communications projects that included print,graphics, writing, video, and other multimediamodalities.• Graphics design experience, or experience creating promotionalmaterials.• Experience setting up and troubleshooting AVequipment.• A Bachelor's degree, preferably in a field related tomarketing, communications, design, or public relations.FLSA Exempt: NoAll offers of employment are contingent upon successfulcompletion of a background check.This is a classified position represented by the SEIU Local 503,Oregon Public Employees Union.The University of Oregon is proud to offer a robust benefitspackage to eligible employees, including health insurance,retirement plans, and paid time off.
