JSI Research & Training Institute, Inc. in partnership with the Massachusetts Department of Public Health (DPH) Immunization Division is hiring a full-time, dynamic, and self-motivated professional to partner with and support the Vaccine Management Unit. The ideal candidate is highly adaptable and tech savvy, has a strong commitment to public health and a history of providing excellent customer and administrative services. The selected candidate will support program staff, providers, the Centers for Disease Control and Prevention (CDC).
This position is based at the Bureau of Infectious Disease and Laboratory Sciences (BIDLS) in Jamaica Plain, MA. This is a contract award specific employment arrangement which means employment is provided for the period of the contract (currently through June 2024, with possibility for renewal). Authorization to work in the US required. Salary range for the position is $45,000 - $60,000/ annually. Salary commensurate with experience. Given the uncertain circumstances during the ongoing COVID-19 pandemic, this role will include a combination of working from the MA State Public Health Laboratory in Jamaica Plain, MA, travel to provider sites across Massachusetts and telework. Work location will be driven by guidance for state employees and the immediate needs of the MA State Public Health Laboratory.
The listed responsibilities are a general summary and not all inclusive:
- Coordinate, monitor, and support vaccine orders from providers to the lot number level to ensure compliance with federal and state guidelines, along with interacting with the CDC’s third party vaccine distributor McKesson and their agents.
- Provide customer service to providers for online vaccine ordering and inventory management in the Massachusetts Immunization Information System (MIIS).
- Respond to incoming calls to the Vaccine Management Unit and maintain contact with McKesson on all issues related to vaccine shipments or vaccine returns.
- Review all vaccine orders, vaccine usage reports to ensure requests are appropriate, complete, accounted for and inventory is maintained at appropriate levels, as well as providing various reports as requested.
- Process Vaccine Return Orders to facilitate obtaining excise tax credits for damaged or expired vaccines.
- Review and analyze all data logger reports and or temperature logs for excursions and notify Vaccine Manager or Vaccine for Children (VFC) Coordinator as needed.
- Support annual re-enrollment to all provider sites as well as offering guidance on how to eliminate vaccine waste and avoid possible restitution in the future.
- Conduct quality assurance site visits for the State Vaccine Program to assess provider compliance with state vaccine program requirements and guidelines.
- Educate providers on all State Vaccine Program requirements including availability of state supplied vaccines, vaccine storage and handling, eligibility screening, use of vaccine and recommended administration schedules.
- Present providers with recommendations for improvement based on data collected during quality assurance site visits, and based on findings from the site visit, determine the appropriate type of follow-up for the provider to complete to ensure compliance with the State Vaccine Program.
- Identify potential cases of fraud and abuse related to state supplied vaccine. Identify and report provider sites that may need further investigation as per the MDPH Vaccine Fraud and Abuse Policy.
- Perform other duties as assigned by the supervisor or Vaccine Manager.

-Experience: One - three years of professional level, customer service experience.
- Demonstrated commitment/passion for implementing and fostering racial equity, diversity, inclusion and social justice into program support and practice while addressing social determinants of health.
- Ability to gather information through questioning individuals examining records and documents.
- Experience and ability to analyze and determine the applicability of data, draw conclusions and to make appropriate recommendations.
- Excellent interpersonal, communication, analytical skills and the ability to work collaboratively with a wide variety of staff and providers demonstrating personal initiative as well as the ability to work well in a team.
- Capability to work on and prioritize multiple projects simultaneously and meet tight deadlines in a fast-paced environment.
- Proficient usage of Microsoft Office products including Word, Excel, PowerPoint, Teams and Outlook.
Preferred qualifications:
- Education: Bachelor’s degree in public health or a related field.
