Overview of Process and Role: Remote Project Management Coordinator

Role Summary:
Project Management Coordinators play a crucial role in ensuring the smooth execution of Wander's "hotelification" process for short-term vacation rentals. They are responsible for handling logistics, ordering, and coordination to support Project Managers in transforming homes to meet Wander's luxury standards.
Key Responsibilities:
1. Logistics Coordination:
- Scheduling Movers and Warehousing:
- Source and schedule movers for transporting amenities to and from properties.
- Arrange receiving warehouses near the homes to manage item deliveries and storage.
2. Order Management:
- Draft Orders:
- Review project details and draft orders in the ordering system based on estimated order sheets and contracts.
- Ordering Process:
- Coordinate with the permitting team to ensure all permits are in place before finalizing orders.
- Place orders for standardized amenities, including Wander branded sheets, linens, robes, and technology, ensuring timely delivery.
3. Pre-Setup Preparation:
- Task Management:
- Use project management software to create and manage projects, tracking tasks and deadlines.
- Collaboration with Project Managers:
- Assist Project Managers in preparing for setups by ensuring all logistics are arranged and any pre-setup tasks are completed.
4. Communication and Coordination:
- Internal Communication:
- Maintain clear and consistent communication with Project Managers, updating them on order statuses, logistics, and any changes.
- Ensure project managers are informed of the setup schedule and any logistical details, facilitating smooth coordination.
5. During Setup:
- On-Site Support:
- Provide remote support to Project Managers during on-site setups, addressing any logistical issues that arise.
- Quality Assurance:
- Coordinate with vendors and moving companies to ensure all amenities are installed correctly and to Wander’s standards.
6. Interior Design Projects:
- For specialized setups assist in coordinating logistics of furniture to location.
Team and Culture:
- Team Size: 2 Project Management Coordinators, expanding to 4. Partners: U.S. based project managers who go onsite to set up the luxury vacation rentals.
- Work Schedule: Fully remote: M-F, 12 noon to 8pm Buenos Aires to be able to collaborate in U.S. timezones. No active setups during Christmas, New Years, U.S. Independence Day, and U.S. Thanksgiving. PTO is manager-approved.
- Company Context: Wander is a growing startup with plans for international expansion and new product offerings, backed by investors like Redpoint Ventures.

- Weekly team meetings every Tuesday at 9am Pacific.
