About the Role:
We are seeking a highly motivated and detail-oriented individual to join our team as an Administrative Assistant. The successful candidate will play a crucial role in maintaining an efficient and organized office environment. The Administrative Assistant will provide essential administrative support across various departments, ensuring smooth daily operations and contributing to the overall success of our organization.
What You’ll Do:
Administrative Support:
• Perform general clerical tasks, including photocopying, scanning, and filing documents.
• Handle incoming and outgoing mail, emails, and telephone calls in a professional manner.
• Assist in scheduling appointments and meetings, and maintain calendars for key staff members.
• Coordinate staff travel logistics, including travel arrangements, travel authorizations, and reimbursements while adhering to travel policies.
• Process basic HR duties, such as background screenings and onboarding documentation.
Office Organization:
• Maintain a clean and organized office space, including common areas and conference rooms.
• Monitor and replenish office supplies, and coordinate equipment maintenance as needed.
• Collaborate with relevant teams to improve office efficiency and workflow.
Meeting Coordination:
• Schedule, organize, and coordinate meetings and appointments.
• Prepare meeting materials and ensure all necessary arrangements are made.
Visitor Reception:
• Greet and assist visitors, clients, and employees in a friendly and professional manner.
• Manage the reception area and ensure a positive first impression for all guests.
Team Collaboration:
• Collaborate with colleagues to support various projects and initiatives.
• Communicate effectively with team members and other departments to facilitate workflow.
Event Support:
• Order lunches and refreshments for meetings and events.
• Assist in the planning and organizing of office events.

Qualifications:

• Excellent written and verbal communication skills.
