The Opportunity
As a Production Coordinator, you’ll play a crucial role in ensuring seamless event execution from start to finish. You’ll be the logistical backbone of our production team - managing communication between teams and vendors, updating and maintaining event documentation and systems, coordinating travel and logistics, and supporting on-site operations. This is a fast-paced role that requires exceptional organization, adaptability, and attention to detail to help bring our clients’ events to life.
You'll work closely with our Production Managers and external vendors, ensuring that every logistical detail is accounted for. Most of your day will be spent working with vendors, managing communication and event details, updating event documents, scheduling meetings, coordinating travel and logistics, and troubleshooting any last-minute challenges. Occasionally, you may even have the opportunity to be on-site, supporting live corporate event execution.

Main Responsibilities Include -
• Communication & Documentation Support: Maintain event records and production documentation, including attendee details, schedules, and floorplans (using platforms like Social Tables or Vectorworks). Schedule and follow up on meetings, and serve as the primary out of office contact for Production Managers.
• Logistical Coordination: Coordinate travel, lodging, and onsite logistics for technical crews. Support pre-event planning by confirming equipment orders, verifying delivery schedules, and ensuring all details are in place for smooth execution.
• Administrative Support: Manage urgent inquiries and issues, create and update purchase orders, ensure invoice alignment, and track any updates to gear or labor in sales orders—including overtime and onsite changes.
While this role is remote, you may be asked to travel onsite as needed in a support role to oversee certain aspects of onsite event execution.
Who You Are
The right person for this role is highly organized, proactive, and thrives in a fast-moving environment. You have strong communication skills, a knack for problem-solving, and can juggle multiple tasks at once. Additionally, we’re looking for:

• 3+ Years Experience: Previous experience in live event coordination, event production, or event logistics is required.
• Detail-Oriented: You can spot inconsistencies, catch last-minute changes, and keep track of multiple moving pieces.
• Calm Under Pressure: Events move fast, and you’re comfortable troubleshooting issues and adjusting plans on the fly.
• A Great Communicator: Whether it's scheduling meetings, drafting follow-ups, or answering urgent requests, you excel at clear, professional communication.
• Tech-Savvy: You’re proficient with productivity tools (Microsoft Office, Google Suite, project management software, etc.) Experience with Vectorworks or CAD software is a bonus.
The Impact
Within 1 month, you’ll have:
• Met the key stakeholders and team members you’ll be working with
• Gained an understanding of our production process, service offerings, and tools
• Familiarized yourself with our top clients and their event needs
In 3 months, you’ll have:
• Served as the primary communication contact for at least five live events
• Assisted with updating sales orders and event documentation
• Taken ownership of booking travel and coordinating pre-event logistics
In 6 months, you’ll have:
• Full autonomy in your role
• Successfully managed logistics for multiple events
• Developed strong relationships with our production team and external vendors
• Contributed to process improvements to make our event execution even smoother
• Traveled onsite to support at least one event
