JOB SUMMARY: Responsible for maintaining accounting and record-keeping functions and operate as the principal customer service liaison. Maintains industry administrative records to include inmate payroll and training records, staff training records, truck driver and DOT records as well as the customer and vendor files. Completes AP, AR and inventory transactions in D365 and reports discrepancies to management. Conducts past due invoice collection activities. Supervises and trains assigned inmate clerks in their tasks and ensures sufficient bench strength exist within assigned inmate workforce.

ESSENTIAL DUTIES AND RESPONSIBILITIES: Other duties may be assigned.

  1. Has daily interaction with customers, provides information, order delivery dates, change orders, address customer concerns and provides solutions to customer problems, receive telephone orders, and takes follow-up action on product inquiries.
  2. Processes approved purchases for raw materials, operating supplies, office supplies, etc.
  3. Acts as a liaison for company policy matters with supervisors and inmate workers. Point of contact for Human Resources and other corporate departments.
  4. Completes the required month-end processes for the industry.
  5. Directly supervise and train up to six inmate workers in the following duties as required: purchasing, shipping & receiving, production, quotations and customer service inquiries.
  6. Utilize best practices in office procedures related to accounting, record-keeping
  7. Maintain accurate data in day-to-day transactions utilizing Microsoft D365 for Finance & Operations and other business systems and equipment.
  8. Prepare and distribute financial and operational information for use by management and department staff.
  9. Effectively communicates with internal and external customers and stakeholders.
  10. Assists in cycle count inventories, audited inventories, and completes associated transactions in D365.
  11. Coordinate recognition luncheons for inmates twice a year.
  12. Supervise inmate workers in production departments as needed.
  13. Any other task assigned by management.
  14. Supervises PRIDE Union Warehouse operations.


Requirements

Education and Experience: High school/GED, + 2 years supervisory experience. Business Administrative experience required. Some manufacturing experience preferred.

Language Skills: Excellent verbal, written, and electronic communication skills.

Mathematical Skills: Strong math skills.

Reasoning Ability: Training inmates in clerical techniques and coordinating issues pertaining to the business.

Specialized Knowledge and/or Skill:

  • Working knowledge of Microsoft Office Products, including D365 for Finance & Operations, Outlook, Word, Excel, and PowerPoint as well as PRIDE developed applications and programs.
  • Strong written and verbal communication skills, analytical ability, leadership strengths and ability to work effectively with a team.

Physical Demands: While performing the duties of this position, the employee is regularly required to talk or listen. The employee is regularly required to stand, walk; use hands to finger, handle or feel objects, tools, or controls, use feet to operate pedals of vehicle; and must occasionally lift and/or move up to 10 pounds. Specific vision abilities required by this job include close vision.

Work Environment: While performing the duties of this job, the employee frequently works near moving mechanical parts. The employee is occasionally exposed to fumes or caustic chemicals. The noise level in the work environment is usually loud – the dust level is moderate.
