Job Description

Purpose:

We are seeking a highly organized and proactive Administrative Coordinator II to support a faculty member and their team. The ideal candidate will be responsible for managing schedules, coordinating meetings, arranging travel, and ensuring the team’s day-to-day activities run smoothly. This role requires excellent communication skills, attention to detail, and the ability to work independently in a fast-paced environment. The Administrative Coordinator II under general supervision provides high-level administrative support for a faculty member and their team, helping them manage their time, communications, and day-to-day tasks. This role requires excellent organizational skills, discretion, and the ability to handle confidential information.

Responsibilities:

  • Manage the supervisor’s calendar, including scheduling meetings, appointments, and travel.
  • Prepare travel arrangements and itineraries and submits reports for travel reimbursements.
  • Handle correspondence, including emails, phone calls, and messages, ensuring timely and appropriate responses.
  • Prepare reports, presentations, and other documents as needed.
  • Organize and coordinate meetings, including agenda preparation, note-taking, and follow-ups.
  • Conduct research and provide insights to support decision-making.
  • Act as a liaison between the supervisor and internal/external stakeholders.
  • Assist with special projects and other administrative tasks as required.
  • Plans and coordinates logistical and administrative support for events, meetings or other special functions and provides on-site support.
  • Develops, reviews, and communicates research and development procedures, standards, and methods. Coordinates and monitors action items and assignments made by the administrator.
  • Serves as an Office Manager. Maintains and monitors budgets and has fiscal records management responsibilities.

What Is Needed:

  • Bachelor’s degree in Business Administration, Communications, or a related field (preferred).
  • Three years of related experience.
