The role:
Summary
The Accounts Payable Analyst fulfills an important transactional, reporting and analytical function in the Finance department of SoftwareONE. This role involves many aspects of accounting; Accounts Payable, bank reconciliations, Expense Report Processing and Analysis, Vendor Management, Corporate Credit Card Management, Monthly Account Reconciliations, and other special projects as needed. This position will report directly to the Accounts Payable Senior Lead and be an integral position to drive transformation and simplification from a cross-functional perspective.
Roles & Responsibilities may include:
  • Reconcile Vendor Billings, perform research, resolve and report vendor billing discrepancies within allowable contract window
  • Various Accounts Payable requirements such as:
    • Create new vendor cards
    • Research, analyze, and process AP invoicing
    • Research, analyze, and process VAR payments
  • Research and resolve open inventory, Aged AP, and NIVOL (Non Invoiced Vendor Order Lines) reports
  • Administer Company’s Purchasing Card program; monitor card holders and oversee and process all card activity
  • Administer Company’s T&E Program using Concur
    • Administrator of the company credit card program used for travel purposes
    • Coordinate with employees to ensure the timely and accurate preparation of their travel and expense reports
    • Review, approve, and obtain necessary supporting documents for T&E expense reports in accordance with Company policy
    • Ensure the T&E activity is properly coded to the General Ledger accounts
  • Reconcile the HSBC and American Express Corporate Credit Card Accounts
  • Review vendor IRS form W-9s for completeness. Monitor the vendor database to ensure data is properly entered to facilitate the 1099 process. Prepare listing of eligible vendors to receive a 1099 and assist to file appropriate reports with the IRS
  • Assist with various internal and external audit requests
  • Assist with department training and employee development programs
  • Other duties or projects as assigned
What we need to see from you:

Knowledge, Skills, and Abilities Required:

  • 3-5 years of previous Accounts Payable experience is preferred
  • Bachelor’s Degree in Accounting or Finance or equivalent required
  • Strong problem solving skills, attention to details, research and resolution skills, data analysis, and multi-tasking skills
  • Ability to work in a fast-paced, high volume environment
  • Ability to perform accurate and timely work in an organized and efficient manner with minimal direction, under stressful situations and short deadlines
  • Ability to establish and maintain effective working relationships, work independently and with a team
  • Positive, proactive & energetic attitude, strong work ethic & highly dependable
  • Excellent written and verbal communication skills
  • Experience working with ERP systems in the past – Navision a plus
  • MS Office experience required including intermediate Excel knowledge is critical
