Accounts Payable Specialist

This position, reporting to AP Supervisor/GL Accountant, will be responsible for all aspects of accounts payable for day-to-day activities and perform liability accruals for monthly financial close in a timely and accurate manner. In addition, this position also provides year-end audit preparation and support.

RESPONSIBILITIES

• Obtain and maintain a thorough understanding of accounts payable/disbursement cycle.
• Ensure an accurate and timely monthly, quarterly and year end close on AP module and liability accruals including employee expenses and credit card transactions.
• Process and monitor payments and expenditures effectively and efficiently to ensure that vendors and suppliers are paid within established time limits.
• Monitor and analyze department work to develop more efficient AP procedures/process and use of resources while maintaining a high level of accuracy.
• Respond to inquiries and requests from vendors and internal departments for any AP related functions.
• Receive and verify invoices and requisitions for goods and services.
• Verify that transactions comply with established policies and procedures.
• Enter vendor invoices in Bill.com and prepare journal entries in Oracle NetSuite accounting system.
• Ability to prioritize workload and multi-task.
• Reconcile open purchase orders in NetSuite.
• Process annual 1099 and 1096 forms and filing with taxing authority timely.
• Support department with special projects and ad hoc requests.
• Reconcile and maintain AP general ledger and sub-ledger on a monthly basis.

QUALIFICATIONS

• Bachelor's Degree required
• Proven experience (2 to 5 years) in accounts payable or similar position, 3-way match experience is a must.
• Experience with tangible goods invoices, ability to allocate costs to multiple departments from one invoice highly desired.
• Ability to calculate and accrue use sales tax on applicable invoices.
• Must be PC proficient and able to thrive in a fast-paced setting.
• Experience with Bill.com, Expensify, and Oracle NetSuite systems a plus, but not required.
• Must have proficient hands-on experience with Microsoft Excel.
• Strong verbal and written communication skills required.
• Strong interpersonal skills required.
• Ability to multi-task, work under pressure and meet deadlines required.
