Job Description
The Division of University Advancement is seeking a full-time Administrative Assistant to serve as the front-line resource person in the office of the Senior Vice President for Advancement. This position reports to the Chief of Staff and works closely with the Senior Vice President for Advancement, the Senior Administrative Coordinator, the Associate Vice President for Presidential Priorities, and members of the Senior Leadership Team. The primary responsibilities include general staff support for the Senior Vice President’s office, including greeting visitors, phone support, scheduling, travel arrangements, purchasing supplies, maintaining an orderly office, and distributing mail.
The Advancement Division oversees three externally-facing functions of the university: fundraising, engagement, and communications and marketing. Advancement staff within each College and Unit are overseen by both their dean or director and central Advancement leadership. The 300+ person division aligns under a shared work plan and shares an Advancement mission and values to achieve the university's philanthropic goals. The Senior Vice President oversees the division’s strategy for and execution of the philanthropic support for the university’s strategic initiatives and the highest level giving at the university.
The Administrative Assistant will provide backup support to other administrative staff, as needed, to ensure adequate coverage of reception areas. Provides detailed program and administrative support for initiatives within the Senior Vice President’s office, including written correspondence, meeting coordination, and event services. This position will respond to inquiries, manage needs that arise during day-to-day operation, and work independently to solve problems and address challenges as necessary. These activities will require the monitoring of multiple deadlines simultaneously. This position requires the use of excellent judgement, confidentiality, and decision-making to ensure the integrity and professionalism of the office is maintained.
