Administrative Assistant

RESPONSIBILITIES:
Kforce has a client in NYC that is seeking an Administrative Assistant.

Summary:
In this role, the Administrative Assistant will need to work well in a team environment, be able to represent the manager/group with professional courtesy and acumen, and deliver flawless work output. Their daily routine also includes interaction with various executive level internal clients across the lines of businesses. The Administrative Assistant will need to adapt procedures, processes and techniques to complete assignments in line with the department's activities and goals.

Responsibilities:
  • Maintain complex and detailed calendars
  • Screen incoming calls and determine the level of priority, while using caution in dispensing information
  • Manage the coordination and logistics of both internal and external meetings
  • Arrange and coordinate complicated domestic and international travel
  • Organize all aspects for offsite conferences and external events, including catering and transportation
  • Process invoices and T&E expense claims for team members
  • Ensure all policies are followed and items are processed within provided guidelines
  • Act as a subject matter experts for policies and procedures
  • Work cooperatively with the administrative assistants team, in positive partnership to support each other smoothly
REQUIREMENTS:
  • College degree is a plus
  • 5+ years of administrative experience, ideally supporting at the Managing Director level (or equivalent) or above
  • Advanced ability to organize
  • Tact and good judgment in confidential situations, and proven experience interacting with senior management
  • Strong interpersonal, written, and oral communication skills
  • Strong proficiency in Microsoft Office
  • Excellent telephone etiquette and ability to manage competing priorities i.e. calendar management
  • Possesses structure, attention to detail, quality focus, high energy and flexibility to a high-paced deadline motivate organization
The pay range is the lowest to highest compensation we reasonably in good faith believe we would pay at posting for this role. We may ultimately pay more or less than this range. Employee pay is based on factors like relevant education, qualifications, certifications, experience, skills, seniority, location, performance, union contract and business needs. This range may be modified in the future.

We offer comprehensive benefits including medical/dental/vision insurance, HSA, FSA, 401(k), and life, disability & ADD insurance to eligible employees. Salaried personnel receive paid time off. Hourly employees are not eligible for paid time off unless required by law. Hourly employees on a Service Contract Act project are eligible for paid sick leave.

Note: Pay is not considered compensation until it is earned, vested and determinable. The amount and availability of any compensation remains in Kforce's sole discretion unless and until paid and may be modified in its discretion consistent with the law.
