Overview
*This Role is Hybrid. Must be able to commute to office at a minimum of one day each week.*
We are seeking a highly skilled and talented Administrative Assistant. This role involves supporting the Southeast Supply Chain Regional Vice President. Day-to day-responsibilities include partnering coordinating meeting/events, preparing meeting agendas, arranging travel, processing some Division related invoices, reconciling expenses and other key tasks that help the department run smoothly. This position is based out of our Region Office in Atlanta, GA
Responsibilities
Coordinating travel arrangements, including booking flights, car rentals and making hotel & restaurant reservations when needed.
Provide support to the Division Leadership Team meetings and related preparation and management tasks including Zoom administration, catering, conference room management, device management, and other miscellaneous/ad hoc requests
Coordinating meetings
Preparing and handling highly confidential and proprietary information.
Preparing and reconciling the T&E reports in Concur and P-card as appropriate.
Maintaining content, accuracy, and visual organization of files (or informational databases).
Managing, updating, and appropriately communicating departmental documents.
Managing departmental projects as assigned
Preparing PowerPoint presentations.
Actively participate and assist in the coordination of office spirit and networking events
Serving as a resource person by contacting or responding to inquiries
Filing and retrieving corporate records, documents, and reports
Provide support on special projects/ad hoc needs
Qualifications
Ability to function well in a team environment, display professional maturity and interact with all levels of management
Ideal candidate should have strong communication and collaboration skills, including outstanding written communication and interpersonal skills
Consistently demonstrates a “can do” attitude with “no job too small” mentality and an impeccable standard of excellence
Ability to work with minimal supervision, set goals, create, and implement action plans, and monitor progress towards goals
Work on confidential projects with an appropriate sense of urgency and discretion
Detail-oriented and resourceful in completing projects; able to multi-task without loss of efficiency, including the ability to make clear and timely decisions
Results-oriented with the capability to complete assignments in a timely manner, with the ability to pivot and react to changing priorities
High level of proficiency in Microsoft Suite including Outlook, Word, Excel, and PowerPoint, with the ability to quickly learn various in-house software applications
Ability to travel for meetings and work overtime if needed
Must be able to flex schedule to meet work demands (ex. early mornings, after hours).
