Administrative Assistant/Office Assistant

Our RE/MAX office is looking for a Real Estate Secretary/Assistant to manage our front desk on a daily basis and perform a variety of administrative tasks. As the first point of contact for our company, your duties include offering administrative support across the organization, coordinating front-desk activities, preparing and organizing transactional documents, and other miscellaneous day-to-day tasks. To be successful in this role, you should have a pleasant personality and be able to deal with emergencies in a timely and effective manner while streamlining office operations. Multitasking and organizational skills are essential for this position. This role may require working in shifts, so flexibility is a plus. Ultimately, the duties and responsibilities of a Real Estate Secretary are to ensure that the front desk welcomes guests positively and executes all administrative tasks to the highest quality standards.

Responsibilities for Real Estate Secretary

  • Answer and respond to customer inquiries and needs via phone and email
  • Assist real estate agents with the scheduling, coordination and preparation of successful open house events
  • Maintain and manage all databases relating to the real estate functions and activities.
  • Prepare and organize real estate contracts and documents
  • Create, design and distribute electronic real estate brochures, flyers, and other marketing materials
  • Manage advertising of the property online
  • Obtain information and public records about property for sale
  • Print, scan, and copy important documents related to transactions
  • Keep transactional records and documents in order

Qualifications for Real Estate Secretary

  • Experience with Microsoft Office (Excel specifically)
  • Strong literacy and numeracy skills to handle administrative tasks
  • Computer literacy required to track and monitor leads and feedback
  • Working knowledge of social media for monitoring and advertising purposes
  • Graphic design experience preferred to create advertisements and e-mail campaigns
  • Administrative and marketing experience preferred
  • Ability to handle multiple projects at the same time as well as prioritize and manage time efficiently
  • Ability to communicate effectively with buyers, sellers, real estate agents and repair persons both verbally and in writing
  • People-oriented, dedicated to customer service, extremely organized and attentive to detail
  • Ability to work independently but also follow the instruction of lead real estate agents

Job Types: Full-time, Part-time, Contract

Pay: From $16.00 per hour

  • Monday to Friday
  • Weekends as needed

Ability to commute/relocate:

  • Clifton, NJ 07011: Reliably commute or planning to relocate before starting work (Preferred)

Experience:

  • Customer service: 1 year (Preferred)
  • Administrative real estate: 1 year (Preferred)

Language:

  • Spanish (Preferred)

Work Location: In person
