Administrative Specialist III - Casual
  • The Aerospace Corporation is seeking an Administrative Specialist Casual employee to provide administrative support to the Systems Engineering Division’s Architecture and Design Subdivision, and our larger Engineering and Technology Group (ETG) located in Colorado Springs, CO. The selected candidate will work cross-organizationally in support of a variety of organizations and customers.
Job Description
What you’ll be doing
  • Engage heavily in regional office operations, including coordinating office space requests, contributing to Facilities projects (e.g., building moves, new building openings), and coordinating across company IT/Facilities/Security/Engineering operations.
  • Schedule meetings and manage conference room calendars. Coordinate and support meetings and events including obtaining visit requests and badges for visitors. Configure conference rooms and arrange necessary media in coordination with Facilities and Enterprise Information Services.
  • Order office supplies as needed.
  • Update organization Microsoft SharePoint site, and possibly Jira projects and Confluence spaces.
  • Use standard digital productivity software including Word, Excel, PowerPoint, Visio, and Adobe Acrobat.
  • Prepare and formats reports, memos, correspondence, and forms.
  • Prepare purchase requisitions following through to approval process and delivery of material.
  • Maintain personal and organizational electronic calendars.
  • Engage regularly with all levels of technical staff and management.
  • Assist employees with travel arrangements including transportation and hotel accommodations. Process travel expense reports in a timely manner.

What you need to be successful
Minimum requirements:
  • High School Diploma or equivalent
  • Experience in Microsoft Office applications including Word, PowerPoint, and Excel
  • Highly driven to assist the organization(s) in achieving successful outcomes
  • Must work well in a team environment
  • Must be detail oriented
  • Must possess strong organizational skills
  • Ability to handle multiple priorities and projects at one time
  • Demonstrated flexibility and ability to adapt to changing organizational needs
  • Effective interpersonal skills to coordinate efforts and work with other internal and external organizations
  • Strong written and oral communication skills
  • Ability to represent the company favorably to customers and visitors
  • Ability to exercise sound judgment
  • Ability to obtain and maintain DoD Top Secret, and SCI clearances
How you can stand out
It would be impressive if you have one or more of these:
  • 6 or more years of administrative support experience
  • Bachelor's Degree
  • Knowledge of corporate policies, practices, travel, and procurement
  • Experience using advanced Microsoft Excel features (e.g. pivot tables, formulas, conditional formatting, etc.)
  • Experience using virtual meeting tools such as Microsoft Teams, Zoom, and Skype
  • Experience managing Microsoft SharePoint sites
  • Experience using and maintaining Jira projects and Confluence spaces
  • Experience using project management software utilities such as Microsoft Project
  • Experience using dashboarding utilities such as Tableau
  • Experience with corporate software utilities (e.g., Concur, Workday)
  • Proclivity for and experience engaging in STEM, DEI, or other activities
  • Active DoD Top Secret and/or SCI clearance or current (<4 years old) Sole Source Background Investigation (SSBI)
We offer a competitive compensation package where you’ll be rewarded based on your performance and recognized for the value you bring to our business. The grade-based pay range for this job is listed below. Individual salaries within that range are determined through a wide variety of factors including but not limited to education, experience, knowledge and skills.

$56,243.00 - $73,195.00 - $90,147.00
Pay Basis: Hourly
