Administrative Associate 5

Assists in the processing of Personal Services Agreements, Clinical Affiliation Agreements, and Dual Service Agreements. Inspects drafts agreements for accuracy and completeness. Secures quotations by appropriate methods, such as Requests for Quotation. Identifies potential suppliers, drafts RFQs, conducts opening of bids and prepares bid analyses. Resolves differences between university and suppliers and accepts recommendation of award.Monitors contracts for compliance with terms. Maintains and renews contracts annually or as needed.Creates and maintains supplier records in Banner and electronic procurement system. Maintains certificates of insurance from suppliers as necessary. Coordinates State insurance coverage for fine arts on loan to the University. Manages contracts for leased multi-function devices. Other duties as assigned.
Minimum Qualifications
High school diploma or equivalent with four years of related professional experience or a bachelor’s degree from an accredited institution with at least two years of related professional experience. Ability to type and effectively use a computer. Experience working with a variety of software packages. Proficiency in applications such as Word and Excel. Ability to manage multiple tasks/projects simultaneously while maintaining a high attention to detail. Strong organizational skills and the ability to work independently. Ability to effectively communicate (both orally and in writing) with University faculty and staff and outside suppliers. Ability to apply applicable purchasing policies, guidelines, and state laws in a variety of purchasing situations.
Preferred Qualifications
Two years of on the job purchasing experience OR a Bachelor’s degree from an accredited institution in Business Administration or related field. One year experience working in a similar job that requires high attention to detail.

Compensation and Benefits

Salary
Commensurate with education and experience. Clerical & Support Pay Grade 7. This is a two-year funded position with the possibility of renewal based on future funding.
