Administrative Office Assistant
The George Mason University, Department of Atmospheric, Oceanic and Earth Sciences (AOES) is looking for an enthusiastic and energetic Administrative Office Assistant to provide clerical, purchasing and processing support to the Department Chair and faculty.

Responsibilities:
Administrative Support
- Provide administrative support for the Department Chair;
- Provide administrative support to faculty and students;
- Manage equipment for AOES: conduct equipment inventory, receive new equipment, and surplus old equipment;
- Serve as a point of contact for all office maintenance requests, including facilities work orders, telecommunications work orders, and desk/office space tracking; and
- Key and electronic access authorizing agent for AOES students, post docs, adjuncts, faculty.
Fiscal
- Ensure state and Mason regulations; procedures and time lines are followed when performing all tasks including purchasing; use Mason P-Card and eVA to purchase various items;
- Assist with the processing of reimbursements and foundation vouchers;
- Process direct expenditures such as travel, food and beverage, and check requests; and
- Coordinate travel for external AOES visitors.
Required Qualifications:
- High school diploma or GED;
- Excellent professional presentation, communication, and customer service skills, good judgment, and the ability to provide an immediate response to requests and inquiries for a variety of university stakeholders;
- Ability to work courteously and effectively with students and faculty;
- Enthusiasm for working in higher education and a research-oriented environment;
- Familiarity with, and significant experience using standard word processing, spreadsheets, databases, and Zoom; and
- Ability to work under pressure; multitask, work well with others in a team environment; must have a professional demeanor.
Preferred Qualifications:
- Associate’s Degree in any field or equivalent combination of education and experience;
- Experience in higher education setting; and
- Familiarity with state guidelines for placing and receiving orders, and processing reimbursements.
