Position Description

Seattle Municipal Court's (SMC) mission is to provide a forum for individuals to resolve alleged violations of the law in a respectful, independent, and impartial manner. The Court is dedicated to advancing social justice issues by supporting personal, structural, and systemic change in our community, and building a diverse workforce. SMC is seeking qualified candidates for Temporary Administrative Staff Assistant to provide administrative support for Court Administration and members of the Executive Leadership Team. The Administrative Staff Assistant will execute their duties, tasks, and special project assignments. This role encompasses organizational and administrative functions. To be successful in this position, you must be passionate about customer service, eager to learn and solve problems under pressure, have high professional standards, and have excellent attention to detail. This role requires you to be a self-starter who can work independently and be a collaborative team player.

This assignment is anticipated for 12 months with possible extension.

Job Responsibilities

  • Works in partnership with the Executive Assistant to support a variety of needs.
  • Manages the overall administrative functions for the Executive Leadership Team, providing resource support for each service area to function effectively. Anticipates the needs of the team, using creative problem-solving and critical thinking under pressure.
  • Supports members of an executive leadership team:
    • Maintain calendars, prepare correspondence, and create presentations.
    • Prioritize requests, ensuring time is spent efficiently and cost-effectively.
    • Manage sensitive and confidential information including routine data entry.
    • Use tact, integrity, and confidentiality in professional conversations.
    • Provide excellent customer service, timely and effectively communicating and collaborating with executives, elected officials, court staff, and external stakeholders.
  • Drafts agendas, prepares materials, takes meeting minutes, and follows up on action items.
  • Coordinates and directs a variety of office management functions.
  • Assists with organizing employee events and department all-staff meetings.
  • Demonstrates a commitment to advancing equity, social justice, diversity, and inclusion in conducting work.

Qualifications

Minimum Qualifications:

Experience: One (1) year of experience in administrative analysis, budget administration or preparation, office management, personnel administration, program administration, as staff assistant, or in a closely related field, AND
bachelor's degree in business or public administration, another closely related field, OR two (2) additional years of relevant experience.

Additionally, you will be prepared to take on this role if you have following:

  • Providing administrative support to high level management and administering overall office management functions.
  • Building respectful and collaborative relationships with people at all levels of an organization
Skilled in:
  • Utilizing Microsoft Office Software (Word, Excel, Outlook, Teams) with intermediate to advanced proficiency.
  • Exercising discretion, maintaining confidentiality, and interacting tactfully with a diverse group.
Committed to:
  • Advancing equity, social justice, diversity, and inclusion in how you conduct your work.
  • Learning new systems and supporting transformational change.
The ability to:
  • Manage calendars, including coordinating project deadlines and meetings for upper management.
  • Exercise project management skills.

  • Use creative problem-solving and critical thinking under pressure.
  • Be an exceptional professional communicator, using tact, integrity, and collegiality.

Additional Information

Work Schedule:
The normal work week is Monday through Friday, 8:00 AM to 5:00 PM.
This position offers the flexibility of a hybrid work schedule.
Alternative schedules may be considered and will be based on operational needs.

Work Location:
Onsite work will take place at Seattle Municipal Court, 600 5th Ave.

Pay The full hourly pay range for this position is $35.05 to $40.86 per hour.
