Executive Assistant

Location: Wescosville Roles and Responsibilities... We are seeking an Executive Assistant in our Allentown, PA global headquarters who will be responsible for supporting the Chief Operating Officer. The US-based role will work seamlessly with the COO’s UK-based EA, to ensure global support across multiple time zones and stakeholders. The successful candidate will also be called upon to communicate with a variety of internal and external stakeholders, partner with other EAs within Air Products, and coordinate COO-led meetings and agendas. The diverse range of the executive’s business responsibilities and demanding schedule, including frequent international travel, makes this a challenging and dynamic role, requiring a highly discreet and diplomatic individual, with exceptional organizational, analytical, and interpersonal skills. The incumbent must also maintain a high level of professionalism and confidentiality in interacting with a broad range of executive audiences both internally and externally. Principal Account abilities: • Calendar Management: Pro-actively manages an ever-changing schedule against priorities to ensure optimum use of time. Schedules and manages meetings and video conferences including coordinating conference rooms, creating/reporting meeting agendas, etc. • Information Management: Interfaces with key internal and external individuals. Furnishes and obtains information of a highly confidential and sensitive nature as appropriate, or as directed by the executive. Prepares documents, reports, presentations, etc as requested and required. Interacts and communicates closely with the global teams reporting to the Chief Operating Officer, with focus on those in the Americas. • Travel Management : Organizes global, and sometimes complex, travel arrangements including flights, hotels, transfers. Organizes visa applications to meet relevant travel deadlines. • Communicates with internal and external stakeholders worldwide, including executive leaders, management, peers, customers, government officials, etc. Positively represent Air Products and COO in communicating with key stakeholders, particularly externally. • General Administration: Provides overall administrative support including Workday transactions, expense report preparation; reviews expenses for executive’s direct reports for adherence to company policy. Requirements: • Minimum of 10+ years previous experience in senior level administration roles. Associate degree preferred. • Exceptional written and oral communication skills, excellent interpersonal skills. • Ability to work collaboratively in a team environment. • Advanced proficiency in Microsoft Office Suite Products. In particular, advanced skills in Power Point are required. Share site experience is preferred. • Strong relationship management skills. • Positive, high-energy individual. Exceptional organizational skills, including the ability to prioritize workload and multi-task while maintaining attention to detail and seeing tasks and projects through to their completion. • Proactive; Flexible with unexpected and challenging changes; ability to work under pressure and to tight deadlines. • Previous experience working with highly confidential and sensitive information required.
