Assistant Office Manager

About the role

The Assistant Office Manager under the direction of the CRES Office Manager will oversee the office, vendors and manage the building issues as it pertains in coordination with the lease. The position is based in Midtown Manhattan.


Responsibilities of position:

  • Assist in the oversight of facilities operations for Swiss Re's office(s), including Landlord liaison, vendor relationships.
  • Assist in the oversight of external vendor document management, security, cleaning, and all office maintenance including monitoring performance, accountability, deliverables and invoicing as defined by proposal and/or contract.
  • Additional projects and responsibilities to be assigned as needed by your line manager.
  • Oversee on boarding and off boarding within the workplace management tool (Planon).
  • Review Contact One tickets and ensure timeliness of resolution and closure.
  • Collaborates with special events partner for meetings and conferences. This includes set up and hospitality support for entrance and VIP Services for Board members.

Key Performance Indicators:

Annual Operations Survey results, % variance from budget, audit reports, office maintenance, contractor/vendor performance.

About you

  • This role is full time and onsite.
  • Position may require working after core hours and weekends.
  • Must be able to spend several hours walking/standing light lifting and physical exertion for minor building repairs

Requirements:

  • Bachelor's degree or relevant work experience required
  • Minimum 5 years facility or office management experience preferred with a track record in building employee relationships.
  • Strong familiarity with corporate support functions, contract management and vendor relationships preferred.
  • Strong communications, verbal and written, required.

For New York the estimated base salary range for this position is $48,000 to $78,000. The specific salary offered for this or any given role will take into account a number of factors including but not limited to job location, scope of role, qualifications, complexity/specialization/scarcity of talent, experience, education, and employer budget. At Swiss Re, we take a "total compensation approach" when making compensation decisions. This means that we consider all components of compensation in their totality (such as base pay, short-and long-term incentives, and benefits offered), in setting individual compensation.
