Days & Hours: Monday through Friday, 37.5 hours per week. Standard work schedule is 9:00 am to 5:30 PM, may be adjusted. Flexible schedule may require evening and weekend hours during peak periods.
BASIC FUNCTION AND SCOPE OF JOB:
TheAssociate Registrarreports to the Registrar and assists in the creation, maintenance, and preservation of the university’s student course enrollment and academic records; partners in education with the university’s schools to facilitate student learning and academic progress; promotes equity and fairness by ensuring the consistent application of relevant administrative and academic policies and procedures.

ESSENTIAL FUNCTIONS:

Manage annual publication and ongoing maintenance of the university’s academic catalog.

Maintain the university’s online course inventory information.

Support the creation, maintenance, and publication of the online course schedule.

Support course registration, enrollment and degree verification, and enrollment reporting to the National Student Clearinghouse
-
Assist Student Accounting Services Office in registration charges payment policy enforcement and deregistration process.

Ensure instructor compliance with grade due dates and academic standards, particularly in degree programs with anonymous grading and/or requisite grade distribution curves.

Support academic records maintenance including recording grades, academic awards, and the conferral of degrees and certificates.

Support diploma and certificate ordering, printing, and distribution

Prepare and record the Law School Dean’s List, JD class ranking, and academic standing.

Support transcript order fulfillment and release, both via electronic PDF and hard copy

Support the maintenance, security, preservation, and proper disposal of student education records, in both physical and digital forms, in compliance with federal privacy law (FERPA)

Coordinate with other office staff members to ensure adequate coverage of the reception counter, phone lines, and email mailboxes during office hours.

Provide timely and courteous assistance and guidance to students, faculty, and staff regarding policies, procedures, forms, deadlines, and pertinent requirements.

Participate in testing student information system software patches and upgrades, including GGU developed customizations.

Assist in the maintenance of relevant web content and forms.

Other duties as assigned.

Education and/or Experience:

Education requirement:

Bachelor's degree in a related field; master’s degree preferred.

Years of experience:
- One to three years’ related experience and/or training; or equivalent combination of education and experience. Experience working in higher education at an institution that serves professional and working adult students is preferred.

Experience with the Acalog Academic Catalog system

Experience with the Ellucian Colleague student information system

High proficiency with MS Office suite, especially Excel
