HR Compliance Specialist

JOB TITLE:  Compliance Specialist  

REPORTS TO: Manager of Human Resources (HR) 

FLSA STATUS: Full-Time; Exempt 

SUMMARY 

The HRCS is responsible for the administration of personnel changes for new and existing employees in the Human Resource Information System (HRIS) and is accountable for accuracy of all employee information and proper storage of documentation. They will assist with all internal HR audits across multiple systems and provide recommendations to improve processes within HR.  

ESSENTIAL DUTIES AND RESPONSIBILITIES  

  • Support the HR function by entering HR transactions, including Personnel Action Forms, Title Changes, Reporting Structure Updates, New Department Codes, and other data into the HRIS, and ensuring approvals are documented and stored properly  
  • Work with the Onboarding Team to ensure new hires are properly brought into the organization, managing paperwork, entering information into the HRIS, completing I-9s, etc. 
  • Maintain job description database for all positions within the organization 
  • Audit and maintain documents, records, and employee files to ensure compliance with federal, state, and local laws 
  • Help with data and file organization in shared spaces, ensure information is stored in an orderly manner 
  • Collaboratively work with team members to establish and secure a consistently confidential and trusted work environment 
  • Compile data and run reports as needed 
  • Compile information needed to file various government reports such as the EEO-1 report 
  • Conduct and manage all HR audits, determine the appropriate schedule and frequency, and provide recommendations for process improvements 
  • Ensure all processes and procedures relating to HR functions are documented and updated  
  • Monitor employment law postings in all office locations to ensure compliance with state and federal requirements 
  • Respond to all employment verifications in a timely manner  

QUALIFICATIONS   

  • Minimum of 2 years' experience in Human Resources. 
  • Minimum of 2 years’ experience in fast-paced customer service. 
  • Bachelor’s Degree a plus. 
  • Proficient to Expert knowledge of ADP Workforce Now. 
  • Strong data management skills with superior attention to detail. 
  • Must maintain an elevated level of confidentiality.  
  • Ability to communicate effectively both orally and in writing. 
  • Ability to learn new things quickly and proactively.                      
  • Enthusiastic team player, highly motivated, and a self-starter. 
  • Organized and able to efficiently handle multiple tasks. 
  • Ability to adapt to a rapidly changing environment. 
  • Proficient use of Microsoft Office, including Word, Outlook, and Excel.
