JOB SUMMARY
The Executive Assistant will proactively handle a wide range of executive support, ranging from administrative support for the Regional CFO and Direct Reports, to more “added value” support for the Regional CFO – the precise scope will depend on the candidate’s skill profile.
In this role, the Executive Assistant will interact with staff at all levels, including C – Suite Executives in a fast-paced environment. Must work well under pressure, remaining flexible, proactive, resourceful, and efficient, and work with a high level of professionalism and confidentiality.
The successful candidate is methodically organized, detail-oriented, and an effective and engaging communicator with a wide variety of internal and external parties. The candidate also has strong decision-making abilities and thrives in a fast-paced environment with minimal supervision.
RESPONSIBILITIES
- Serve as a gatekeeper for the Regional LATAM Chief Financial Officer, providing daily executive administrative support. This includes answering phones, drafting and responding to emails, scheduling meetings, managing the calendar, and arranging travel and expense processing.
- Serves as the department administrative coordinator which includes onboarding new team members and contractors.
- Lead and/or support special projects requiring a high degree of confidentiality and accuracy.
- Builds trusted relationships with internal staff and Chubb partners and external partners.
- Assisting with escalating IT issues which may include equipment and infrastructure.
- Ensures senior management meetings are appropriately scheduled and communicated, including logistics.
- Coordinates and attends frequent departmental meetings; often providing notes/minutes.
- Coordinates and assists in onboarding and supporting employees and contractors.
- Prepares correspondence and PowerPoint presentations.
- Process invoices in conjunction with Finance Department partners.

EDUCATION AND EXPERIENCE
5-10+ years of executive administrative support experience preferred, ideally with VP and above levels of an organization.
Bachelor's or equivalent education and experience required.
Project management, event, and meeting planning experience is a plus.
Strong aptitude with Microsoft Suite including Outlook, Teams, MS Word, Excel, PowerPoint.
