The Bronx County District Attorney’s Office has an opening for a Purchasing Supervisor to contribute to the overall leadership and management of the purchasing unit.
Job Responsibilities
Team Leadership:
Lead, motivate, and develop team members to enhance performance and achieve objectives.
Conduct regular team meetings to review progress, address concerns, and provide feedback.
Supervise and manage the daily activities of the purchasing team, ensuring that purchasing operations run smoothly and efficiently.
Act as a liaison between the team and upper management, ensuring clear and effective communication.
Administrative Duties:
Prepare and maintain various administrative documents, including reports, and records.
Manage and oversee daily operational activities to ensure efficiency and compliance with office policies.
Handle correspondence, including emails and phone calls, and ensure timely responses.
Assist with budgeting and financial reporting as required.
Maintain records of purchasing transactions and prepare detailed reports for management.
Project Management:
Work with Purchasing Director on special projects, ensuring deadlines and quality standards are met.
Allocate tasks and resources effectively to achieve project goals and objectives.
Day to Day:
Act as a liaison between suppliers, vendors, and internal departments to resolve any procurement-related issues.
Handle correspondence, including emails and phone calls, and ensure timely responses. Utilize Financial Management Systems (FMS) for Purchase Order
Complete expenditure analysis to identify efficiencies and cost savings solutions.
Perform other special projects as assigned.
Performance Management:
Evaluate team performance and provide constructive feedback to support professional growth.
Conduct performance reviews and assist in the development of individual and team improvement plans.
Address and resolve any performance or behavioral issues within the team.
Monitor and analyze team performance metrics to identify trends and areas for improvement.
Inventory Monitoring and Assessment
Conduct Regular Stock Audits: Regularly count and audit stock levels to ensure accuracy and identify any discrepancies. This can be done on a periodic (weekly, monthly) or continuous (real-
time inventory tracking) basis.
Track Stock Levels: Use an inventory management system to track real-time stock levels. This helps prevent overstocking or stockouts. Ensure that stock levels are regularly updated in the
system.
Work Schedule:
Monday to Friday, 9:00 AM – 5:00 PM.
Weekends may be required based on needs for special projects.
Qualifications:
Education:
Bachelor's degree in Business Administration, Procurement, or a related field.
Relevant certifications (e.g., Certified Purchasing Professional (CPP), Certified Supply Chain Professional (CSCP)) are a plus.
Experience:
Minimum of 3-5 years of experience in purchasing, procurement, or supply management.
At least 1-2 years in a supervisory or leadership role is preferred.
Skills and Competencies:
Strong leadership, organizational, and interpersonal skills to effectively manage teams.
Excellent communication skills, both verbal and written, with the ability to liaise between internal departments, suppliers, and upper management.
Proficient in Financial Management Systems (FMS) and procurement software.
Strong analytical skills with the ability to assess inventory trends, manage stock levels, and identify areas for improvement.
Ability to negotiate with vendors and suppliers to secure favorable terms and prices.
Detail-oriented, with a focus on accuracy and efficiency in all purchasing activities.
Problem-solving skills, with the ability to address procurement challenges proactively.
Other Requirements:
Ability to handle multiple tasks and prioritize effectively in a fast-paced environment.
Flexibility to work outside regular hours or weekends as needed based on business demands.
Strong work ethic, professional demeanor, and commitment to quality and continuous improvement.
1. A baccalaureate degree from an accredited college and two years of experience in community work or community centered activities in an area related to the duties described above; or
2. High school graduation or equivalent and six years of experience in community work or community centered activities in an area related to the duties as described above; or
3. Education and/or experience which is equivalent to "1" or "2" above. However, all candidates must have at least one year of experience as described in "1" above.
