Client Data Specialist (Rochester, NY)

The Client Data Specialist is responsible for the entry and maintenance of client information, matter details and conflicts of interest information in the Firm’s databases. This position also coordinates needed approvals related to Firm business, obligations under ethical rules and attorney employment. This position reports to the Director, New Business & Conflict Services. Remote work flexibility is available for employees within a commutable distance from Nixon Peabody’s Rochester, NY office.

Location: Rochester, NY

  • Ensure accuracy when entering client matter and party information in various Firm databases. This includes following the Firm’s policies and procedures.
  • Review incoming new business intake requests and promptly communicate with attorneys and staff to ensure accuracy and completeness of information recorded.
  • Recognize and understand potential data inconsistencies and reconcile appropriately to preserve data integrity.
  • Acquire, track and follow up on various approvals of Firm management and others related to new business intake.
  • Assist in the file opening process during the onboarding of new attorneys to the Firm and update information related to attorney and staff employment.
  • Prepare reports and summaries of client related information as requested.
  • Provide support in the development and implementation of new systems, processes and procedures used by the New Business Conflict Services (NBCS) team and support staff.
  • Work with IT and the NBCS team to resolve system issues as needed.
  • Attend firm-sponsored training to maintain required skill level and knowledge of software applications as requested.
  • Perform other duties as assigned.

Job Requirements

  • 2-4 years of relevant work experience, preferably within a law firm or professional services environment.
  • Associate’s degree required. Work experience in lieu of a degree will be considered.
  • Excellent computer, data entry, proofreading, database and spreadsheet skills.
  • Observe confidentiality of the Firm’s client information and internal matters.
  • Excellent organizational skills with meticulous attention to detail and ability to prioritize numerous tasks and complete them under time constraints in a fast-paced environment.
  • Excellent interpersonal and communication skills, both verbal and written, with the ability to work with personnel at all levels.
  • Uses initiative to analyze and solve problems in standardized situations.
  • Ability to work independently while collaborating with teammates to ensure exceptional customer service.
