Community Ambassador

SUMMARY

Our VariSpace Community Ambassadors are the heart of our tenant experience. As the do-ers and the first face people see, tenants rely on you for a wide range of things from hot coffee to a warm smile. The role of the Community Ambassador is a fundamental element to the success of VariSpace. The Community Ambassador’s primary responsibility is to elevate the tenant’s experience.

WHAT YOU'LL DO

• Create lifelong fans! Our passion is serving our tenants and their needs. The tenant’s experience will be your top priority, even if it means stepping outside of your job description. Your goal: make a positive impression that will stick with tenants, visitors, and guests of VariSpace.
• Be a team player! Be ready to take every opportunity to learn from, inspire, and collaborate with your fellow team members. This may include working at our other VariSpace locations as well as hours outside of your typical schedule (early mornings, evenings, weekends, and/or holidays).
• Raise the bar! Take the initiative to achieve results and make excellence your goal. Have the courage to do what’s right, be accountable for your actions, and follow through on your commitments. Some ways you will raise the bar each day at VariSpace include:
  • Own the lobby experience to include reception desk, seating areas, and coffee bar. Ensure presence for all tenant/guest/visitor interactions. Attention to detail is key to ensuring the lobby always remains clean and orderly.
  • Lead the arrival experience of all tenants, guests, and vendors. This includes assisting guests and vendors in locating tenant suites and answering questions as needed.
  • Manage the process for all deliveries to VariSpace by ensuring delivery to appropriate suite. Coordinates tenant deliveries when using loading dock. Deliveries include USPS, FedEx, UPS, Amazon, food delivery services, etc.
  • Coffee keeps our tenants fueled for their day. Becoming a coffee connoisseur with our coffee partner will incorporate learning lobby coffee bar operations including keeping equipment and products fully stocked, coordinating equipment repair and deliver outstanding service to both internal and external guests.
  • Keeping our tenants active is easy with a well-maintained fitness center. Your role will focus on ensuring all equipment is operating correctly and report any repairs to property management. Daily inventory of all equipment (dumbbells, free weights, jump ropes, etc.) is reported to the Property Manager. You will provide fitness center standard rules and safety protocol to each tenant and provide signed waivers to ensure access is granted to tenant. Assist with laundry process including laundry and ordering laundry supplies as needed.
  • Elevate the meeting room experience by ensuring a smooth process from beginning to end including the reservation process, set-up, support during the event, and post-event clean-up. You will be key in assisting with meeting room layout options, audio visual requests, food, and beverage options, and more. You will order and maintain meeting room supplies (easels, markers, flip charts, etc.). Whether a tenant or external guest, ensuring a seamless process is pivotal to delivering an experience that raises the bar.
  • Partner with Café Elevate to handle catering for any community hosted event as well as work closely on any internal/external catering needs within reservable space.
  • Work closely with property management (janitorial, security, and maintenance) by reporting any needs/issues throughout the building. Continuous interaction and check-ins with the Security Supervisor includes addressing security issues throughout the building.
  • Maintain an adequate office supply inventory for the VariSpace management team/office.
  • Work side-by-side with your VariSpace Team and Director of Real Estate to create workspaces that elevate our tenant experience!
  • All other duties assigned (additional duties include working in construction environment and may include assembling products, using pallet jacks/dollies to move boxes/furniture, cleaning, etc. An active construction environment includes working in noise, dust, etc.)
• Believe it’s possible! Being an optimist who looks at challenges as opportunities and knows every problem has a solution is key to success in the role of Community Ambassador. In this role you will help create policies and procedures to ensure hospitality is the epicenter of our tenant experience. Within an incredibly dynamic environment, you must be ready to step in and do whatever it takes to elevate our tenant’s experience.

HOW YOU'LL GET THERE

• Minimum 1 year of general office experience and a high school diploma
• Hotel/hospitality or event coordinating experience a plus
• Cheerful and upbeat personality with phenomenal interpersonal skills
• Attention to detail and strong organizational skills are a must
• Ability to multi-task
• Must be self-motivated and take initiative with projects
• Able to work independently, be punctual, and consistently meet deadlines
• Proficiency in Outlook, Word, and Excel is required
• Able to communicate effectively with all levels of the organization, as well as all levels of tenants/guests/customers
