Overview:
As a People Operations Administrator, you will be an integral part of our People team, providing essential administrative support to ensure the smooth operation of HR functions. You will play a key role in handling various HR administration and operational tasks, including team member records maintenance, creation and management of team member profiles, and general HR operations. Your attention to detail, organizational skills, and ability to handle sensitive information with discretion will contribute to the overall effectiveness of our team.
Key Responsibilities:
Talent Acquisition Support:
Collect information from talent acquisition, through the applicant tracking system or other workflows, to enter and manage in team member records
Ensure hired candidate information is transferred from the applicant tracking system into the HRIS accurately and timely
Onboarding and Offboarding:
Facilitate new hire HRIS record creation
Facilitate new hire paperwork completion
Process team member new hires, terminations, and associated document creation
Team Member Records Management:
Maintain accurate and up-to-date team member records electronically
Ensure compliance with data protection regulations and confidentiality policies
Assist with recordkeeping related to attendance, leaves of absence, and other HR matters, specifically those records that must be entered into the HRIS
Benefits Administration Support:
Assist with benefits enrollment, changes, and inquiries if and when the information is stored in the HRIS
Assist the benefits and leave administration team as needed with information management in the HRIS
HRIS Information Maintenance:
Input and update team member information and data in the HR information system (HRIS) accurately and timely from a variety of sources, workflows, and tools to include but not limited to Jira, TypeForm, Applicant Tracking System
Generate reports from the HRIS to audit and ensure the quality of information and data entered for accuracy
Policy and Procedure Compliance:
Maintain compliance with regulatory requirements and company policy regarding internal team member information and data
Operate within agreed upon SLAs (service level agreements)
General HR Support:
Assist with HR projects, initiatives, and events as assigned
Collaborate with People team members to ensure efficient operation of HR functions
Qualifications
Proven experience in HR administration or related roles preferred.
Strong organizational skills with the ability to prioritize tasks and manage time effectively
Excellent verbal and written communication skills. English fluency in conversation, professional writing, and communication required.
Attention to detail and accuracy in data entry and recordkeeping.
Ability to handle confidential information with discretion and integrity.
Team player with a positive attitude and willingness to learn.
Knowledge of employment laws and regulations is a plus.
Desire to work in a global, fully remote environment is a must.
Strong independent judgment, critical thinking, and problem-solving skills required to anticipate and respond to emerging challenges
Familiarity with data privacy regulations (e.g., GDPR, CCPA)
Familiarity with HRIS software and proficiency in Google suite (Docs, Sheets) is required.
