POSITION SUMMARY: BASIC FUNCTION
The Documentation & Reporting Specialist will develop processes, procedures, analysis, and continuous improvement to support the Construction Organization. This role will require an ongoing focus on standardization and simplification for document control, reporting, and organizational efficiency.
This position will collaborate with stakeholders to support development of automated reporting solutions, maintain document collection, naming, and retention standards, improve documentation access and controls, drive our Corporate-sponsored documentation programs, and support ongoing related continuous improvement initiatives.
The Documentation & Reporting Specialist will, as part of a team and independently, define project timelines, gather requirements, and perform quality assurance on documentation being produced or shared internally and externally giving all parties the certainty in accuracy of this data. This role is accountable for ensuring critical policies & procedure documentation are used from project kick off through to closeout of each project, as well as status reporting and maintenance of said policies and procedures to meet our various records retention standards. They will identify system and process gaps and deliver streamlining to allow for scalability in the Construction Org.

ESSENTIAL DUTIES & RESPONSIBILITIES

Policy & Procedures updates, ownership & maintenance for construction departments.

Attendance of critical meetings to widen knowledge of business units.

Create management templates and standards to generate accuracy in documentation.

Create innovative solutions by using technology / software.

Support digital transformation for Construction Department.

Communicate changes in procedures to the wider organization.

Interface with the PMO team on 3rd party reporting documentation.

Identify constraints, concerns, and present proposed solutions to mitigate to the stakeholders.

Create a closed loop learning document control process.

Review drawings and documentation submitted by contractors meet required specifications.

Identify and perform ad-hoc analysis, as needed to support decisions and project delivery.

Coordinate with stakeholders on program needs, changes, and improvement opportunities

Management of document maintenance cycle to ensure timely review and revision of key documents.

Collaborate with stakeholders on development, implementation, and data quality review for automated reporting.

Performs other duties as assigned.

Proficient with computers to include the utilization of Microsoft programs such as Word, Excel, PowerPoint, Outlook, and familiarity with Visio and Project.

Working knowledge of technical documents like blueprints or surveys to allow them to establish methods to sort and store these documents.

Must have strong visualization representation skills, Flow Chart creation knowledge, Visio & PowerPoint presentation layout skills are a must.

Experience developing PowerBI reports highly desired.

EDUCATION & EXPERIENCE
- High school diploma or GED.

Degree in engineering or construction, project management, or equivalent education and/or relevant work experience required.

Degree in Business management, Graphic Design, Marketing, Communications accepted.

Minimum of 5-7 years' experience in the data center industry, construction or similar industrial facility, or project management experience.
PHYSICAL REQUIREMENTS

Able to hear and speak on a telephone.

Close visual work on a computer.

Dexterity of hands and fingers to operate any required computer keyboard, mouse, and other technical instruments.
WORK CONDITIONS

This position is considered to be remote.

Extensive daily usage of workstation or computer.
This is a remote position that requires reliable internet connection and electricity. A monthly stipend is provided to cover expenses associated with working remotely and use of a personal mobile device, if applicable.
NTT Global Data Centers Americas, Inc. offers competitive compensation based on experience, education, and location. Base salary for this position is $99,000 - $137,500
All regular full-time employees are eligible for an annual bonus; payout is dependent upon individual and company performance.
