Position: Administrative Specialist II

Location: Shoreline, WA 98133

Duration: 2+ months contract position

JOB SUMMARY:

The Department of Community and Human Services (DCHS) provides equitable opportunities for people to be healthy, happy, self-reliant and connected to community. Client provide employment and education services to youth and young adults, residing within King County. We are a successful Open Doors 1418 school that joyfully serves students that have dropped out of high school and supports them to, and through, a post-secondary experience, tuition and fee free. We are looking for a wonderful someone that is dedicated to supporting this goal, with a mission rooted in care, compassion, and service. Our Open Doors Administrative Specialist (2) performs a series of technical office support tasks, using databases, and warm first- engagement. Duties require a clear understanding and skill in applying office guidelines and work methods. This is within the body of a program serving Opportunity Youth to and through

the achievement of their post-secondary goals. The position will be engaging in data entry, support for collecting and organizing billing information, onboarding, collecting, and processing student information, as well as routing to billing, enrollment, registration, routing participants, community partners, and maintain information session attendance and support enrollment services. Duties will also include basic jobs related to P-card purchases, reconciliation accounts, maintain inventory and needs related to supplies. Be a part of, and initiate efficiencies in current work procedures related to clerical/desk procedures to better support the position, staff, and students.

PRIMARY JOB FUNCTIONS

1. Greet students and visitors to the program and provide excellent customer service

.

2. Provide program-specific information to on how to enroll into programing, what our services are in a general sense, over the phone, in writing, and in person. Provide specialized and/or technical program-specific information.

3. Establish, maintain, and compile data in digital folders particularly regarding enrollment paperwork, registration into classes, as well as support enrollment and billing processes etc.

4. Making sure that internal and/or external, current or registering participants have program- specific documentation needed.

5. Perform light to moderate numerical calculations involving accounts payable, accounts receivable, reconciling accounts, monitoring expenditures.

6. Maintain, inventory, order, collect and distribute supplies and/or equipment.

7. Process mail by attaching related correspondence or information before forwarding, responding to mail when appropriate.

8. May be assigned the orientation and/or training of co-workers related to the work.

9. May modify and update desk procedures that relate to assigned work.

10. May input and schedule meetings for supervisor and/or organizational unit/program.

QUALIFICATIONS:

1. A Degree in Education, Social Work, Marketing, Human Resources or related field and/or equivalent related work experience.

2. 2-years minimum experience in school administration support

3. 2 years minimum experience in working public facing

4. 2-years minimum experience working with youth or young adults in an education, social service, or employment setting.

5. Strong experience working with databases such as ctcLink, Skyward, or similar large systems

6. Proficiency in Microsoft Word for Windows, Excel, and Outlook

7. Experience using SharePoint, One Drive

8. Excellent reading comprehension, reasoning, writing and oral communication skills are required. Demonstrated ability in use of proper English grammar and spelling.

9. Strong organizational skills.

10. Strong interpersonal and human relations skills, including conflict resolution techniques.

11. Ability to communicate clearly and effectively with staff and employers from diverse cultural and socio-economic backgrounds.

12. Demonstrated ability to prioritize workload, work under pressure with tight timelines and changing priorities.

13. Ability to be flexible and accept a wide-variety of tasks to support a changing and fast-paced environment.

14. Demonstrated ability to develop and maintain collaborative partnerships with stakeholders.

15. Valid Washington State Driver's License or the ability to travel throughout the county in a timely manner.

16. Ability to pass a Washington State Patrol background check.

Job Type: Contract

Salary: $34.00 per hour

Schedule:

  • 8 hour shift
  • Day shift
  • Monday to Friday

Education:

  • High school or equivalent (Preferred)

Experience:

  • Education administration: 2 years (Preferred)
  • school administration support: 2 years (Preferred)
  • working with youth or young adults in an education: 2 years (Preferred)
