Purchasing Assistant

We are looking for a highly organized and detail-oriented Purchasing Virtual Assistant to join our team. The Purchasing Virtual Assistant will support the purchasing department in obtaining goods and services required for the company’s operations, ensuring timely and cost-effective purchases. This role requires strong attention to detail, excellent communication skills, and the ability to handle multiple tasks simultaneously.

Key Responsibilities:

  • Assist in sourcing, negotiating, and purchasing goods and services required for operations.
  • Research and evaluate potential suppliers, ensuring they meet quality standards and cost requirements.
  • Maintain and update records of purchase orders, invoices, and contracts.
  • Track inventory levels and coordinate restocking of products or materials as needed.
  • Assist in preparing purchase orders and issuing them to suppliers.
  • Monitor supplier performance, ensuring timely deliveries and compliance with agreements.
  • Process and resolve discrepancies related to invoices, purchase orders, and delivery issues.
  • Liaise with internal departments to understand purchasing needs and requirements.
  • Maintain accurate records of purchases and pricing for budget tracking and reporting purposes.
  • Collaborate with the finance department to ensure proper handling of payments and invoices.
  • Support the purchasing team with administrative tasks such as filing, documentation, and data entry.
  • Stay updated on industry trends, pricing, and supply chain issues.

  • Proven experience in purchasing, procurement, or a related field is a plus.
  • Strong organizational and time-management skills.
  • Excellent verbal and written communication skills.
  • Ability to analyze data and make informed purchasing decisions.
  • Proficiency with Microsoft Office Suite (Excel, Word) and other office software.
  • Basic knowledge of purchasing software or ERP systems (e.g., SAP, Oracle) is a plus.

  • Client Relationship: You will be directly working with the client. This means that you will communicate with the client, provide services, and address any client-related matters independently.
  • Payment: All payments for your services will be handled directly by the client. Elevate and Delegate is not involved in processing your payroll. Your salary will go directly to you.
  • Vacation Leaves and Holidays: While we may have recommendations or guidelines regarding vacation leaves and holidays, the decision is entirely at the client's discretion. You are expected to align your schedule with the client's business needs and any specific policies or preferences they may have in this regard.
