Job Description:
This position directs the planning, development, logistical management and execution of regional events while overseeing data analytics for global events. The candidate must have knowledge of corporate event planning, contracting, managing multiple timelines, facilities management, and data processing.
Responsibilities:
  • Assist in the planning and execution phases of both small and large scale events – meetings, luncheons, conferences, dinners and receptions.
  • Ability to negotiate contracts for hotels, meeting venues, and other related activities such as food, beverage and audio visual.
  • Coordinate logistics for internal meetings, in-house and external client events and internal learning sessions and workshops. Including audio/visual services, food and beverage, décor, and vendor management.
  • Manage conference budgets, data collection and archiving.
  • Develop and maintain centralized reporting dashboard to track global meeting and event metrics.
  • Hands-on involvement and service-minded attitude from pre-event management to post-event follow through.
  • Manage and adhere to master event calendar and timelines and coordinate cross-department resources.
  • Willingness to roll up sleeves with logistics and details.
  • Create and manage custom event websites through Cvent Flex
  • Ensure quality control for all conference deliverables, including proofreading and design approval.
  • Manage US continuing education offerings for NASBA, the CFP Board, and the Investments and Wealth Institute; including adherence to their standards and regulations, presentation submissions, data archives, certificate processing, and audits.
  • Assist with special projects, as needed.
Qualifications:
  • Bachelor’s degree.
  • Minimum 3 years of experience in corporate event planning required.
  • Understanding of auditorium staging and support for meetings of all sizes.
  • Ability to work equally well in a team environment and independently.
  • Ability to work with C-level executives, global management team, internal and external customers.
  • Self-starter who is an independent thinker capable of managing multiple projects and meeting deadlines.
  • Detail oriented with the ability to multi-task across different projects and events in parallel.
  • Exceptional organizational and follow-through skills.
  • Excellent verbal and written communication and interpersonal skills.
  • Strong computer skills (MS Office (Excel, Access, Word), MS PowerBI, Cvent) with the ability to learn programs as needed.
  • Experience with GlobalMeet, Zoom and MS Teams a plus.
  • Knowledge of finance and/or hospitality industry a plus.
  • Minimal travel required.
