SUMMARY
This is an exciting role for someone wanting to develop their career within corporate events. We are looking for an enthusiastic self-starter to support the US Events team to deliver the firm’s event program in collaboration with M&BD colleagues.
These events are the face of Hogan Lovells and must be accurately targeted and outstandingly well organized. An important part of the role is managing external and internal stakeholders, ensuring clear communications at all times.
JOB DESCRIPTION
  • Supporting Event Managers on our client events (in-person, virtual and hybrid) of varying sizes from initial brief to post event debrief
  • Working on event logistics including: venue sourcing, delegate management, speaker management, branding, supplier management, event technology solutions, theming, communications both internally and externally
  • Budget management, invoice management and data analysis post-event
  • Creating invitations via our email marketing system (iPublish)
  • Creating and updating invitation lists via our CRM system (InterAction)
  • Ensuring the firm's website and internal intranet site is maintained with up to date information on forthcoming events
  • Being an ambassador for the events team, ensuring that events are meeting our business objectives and our strategic approach to events
  • To focus on sustainability. Advising suppliers and stakeholders, minimising waste, going paperless, sourcing eco gifts, reporting on CO2 emissions and how to off-set
  • Working closely with members of the M&BD team and partners to ensure the smooth delivery of events
  • Specific duties or responsibilities may be reviewed from time to time to reflect changes in personnel and management structure, staff location and services.
QUALIFICATIONS
  • Minimum of 2 years’ experience within the event industry, preferably gained whilst working in a professional services firm required
  • BS or BA degree in events, communications, hospitality or related field is a strong preference
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint)
  • Knowledge of InterAction (or similar CRM system)
  • Knowledge of iPublish (or similar email marketing tool)
  • Proven track record of managing successful in-person and virtual events within a corporate environment.
  • Strong written and verbal communication skills with an excellent eye for detail
  • Must feel confident working on event logistics and providing consultation to Partners and M&BD colleagues on best practice and event solutions
  • Must be proactive and offer creative solutions, often thinking outside of the box to create memorable events
  • A team player, but able to act autonomously with appropriate guidance, willing to learn and flexible
  • Able to handle fast moving, high volume event environment with an ability to change and adapt
  • Must possess excellent organizational skills with an ability to work to tight deadlines
  • Ability to travel as needed to support larger events.
HOURS
Core hours are Monday through Friday, 9:00 a.m. to 5:30 p.m., including one hour for lunch, but additional hours may be required. Flexibility with working hours is required, due to the nature of the role as events can take place in the evening or early morning. Must be flexible to work additional hours. Our approach to hybrid working allows for up to 40% of time working from home and 60% working in the office, please contact a member of the recruitment team to discuss further.
