Receptionist

The primary focus of the Receptionist is to handle internal and external calls to the firm, greet and assist visitors, clients, attorneys and staff in a professional and courteous manner, and other administrative operations responsibilities as needed.

JOB DESCRIPTION:

  • Answer all calls and route appropriately.
  • Greet clients and visitors in a professional and courteous manner; assist with beverages for guests as needed.
  • Reserve conference rooms/visiting attorney offices and arrange for AV and OS needs utilizing Outlook email, Rendezvous and Spism software.
  • Perform proper opening and closing procedures for the reception area.
  • Utilize HL Global to access firm information.
  • Familiar with firm personnel, policies, security and procedures.
  • Liaison for office with building engineers for basic office maintenance requests.
  • Administer and track parking validations and security cards.
  • Maintain and update office telephone directories, floor plans, and monthly employee birthday and anniversary communications.
  • Maintain and update internal Intranet.
  • Update staffing calendar.
  • Maintain reception notebook (evacuation plans, updated floor plans/directories/departed attorney list, etc.)
  • Collect, log, copy, and send A/P invoices weekly to DC.
  • Collect, log, and file all charitable contributions.
  • Assist with event planning as needed.
  • Coordinate firm vendors (courier service, car service, plants, flowers, dry-cleaning, construction, etc.)
  • Perform other duties as assigned.

REQUIRED SKILLS

  • 40+ wpm typing speed;
  • Excellent grammar, spelling, punctuation, communication skills, etc.;
  • Proficient in use of Microsoft Office Suite preferred;
  • Ability to read and comprehend correspondence, memos, emails, and basic instructions;
  • Ability to accurately write e-mails and telephone messages;
  • Exhibit and maintain a professional appearance, attitude, and positive demeanor;
  • Flexibility with regard to overtime and work schedule;
  • Excellent attention to detail;
  • Ability to work in a fast-paced environment;
  • Ability to address multiple tasks efficiently and effectively;
  • Must be able to maintain confidentiality.

EDUCATION, CERTIFICATIONS, AND/OR EXPERIENCE

  • 2+ years of administrative experience preferred.

PHYSICAL DEMANDS

  • Must be able to lift up to 20 pounds occasionally.

HOURS

Core hours are Monday through Friday, 8:30 a.m. to 5:00 p.m., which includes a 1-hour lunch. Must be flexible for overtime.

This job description sets forth the authorities and responsibilities of this position and may be changed from time to time as shall be determined. Salary for this position is $44k - $48k DOE.

Job Type: Full-time

Pay: $45,000.00 - $48,000.00 per year
