Executive Administrative Assistant - GIDE/Foundation

The person in this role will work from the Medtronic facility located in Fridley, Minnesota and is expected to be onsite 4 days per week.

We are excited to be hiring an experienced and dynamic Executive Administrative Assistant to support the Vice President, Chief Inclusion and Diversity Officer/President Foundation. In this role, you will work independently to perform complex administrative and operations duties, represent Global Inclusion Diversity and Engagement (GIDE) and the Foundation with the highest level of professionalism, and work with a high level of confidentiality of critical business matters and ensure data integrity. In this role, you will interaction with high-level contacts, both internally and externally, and have exposure to sensitive information requiring use of tact, diplomacy, discretion, and judgement.

A DAY IN THE LIFE
  • Provide proactive administrative and operations support to VP, Inclusion and Diversity Officer/President Medtronic Foundation
  • Act as liaison and communication bridge across GIDE and Foundation Teams
  • Meeting coordination including meeting room reservations, preparing presentation materials, assist with agenda, meeting minutes, travel, catering, setting up WebEx and video conferencing, etc. (meetings include both onsite and offsite)
  • Use problem solving techniques, tact and discretion when handling telephone calls, making travel arrangements, scheduling meetings and managing other requests for information
  • Maintains confidential records, files, organizational charts and email distribution lists
  • Orders supplies and equipment
  • Acts as an information resource on organizational policies and procedures
  • Leads and coordinates special projects as directed
  • Prepare expense reports, audit, and approve direct report expense reports
  • Schedule and coordinate domestic and international travel, accommodations, and logistics; submits travel expenses

MUST HAVE (Minimum Qualifications)
  • High school diploma (or equivalent) and 6+ years of administrative support experience

NICE TO HAVE (Preferred Qualifications)
  • Experience with Microsoft Office Applications, Word, PowerPoint, and Excel
  • Experience with Workday
  • Strong communication skills (verbal and written)
  • Experience with electronic meeting coordination (video conference, phone, and live-online)
  • Experience with calendar and travel planning
  • Attention to detail, accuracy, and confidentiality
  • Organized, efficient, process oriented
  • Anticipates well and is planful/predictive
  • Professional and effective telephone techniques and etiquette, able to triage calls when appropriate
  • Task management and problem-solving skills
  • Self-motivated, team player, strong work ethic
  • Works well under pressure in a dynamic environment; can flex to the meet changing needs
  • Tactful, exercises independent judgment and discretion – professional demeanor. Manages confidential information
  • Flexible, friendly, team-oriented disposition that thrives in a fast-paced environment
  • Strong results orientation and bias for action, including a high degree of initiative and self-motivation in identifying and satisfying unmet needs
  • Demonstrated ability and success working with minimal supervision, including flexibility to changing priorities in a proactive and self-motivated manner
  • Previous Medtronic experience

This position is eligible for a short-term incentive plan. Learn more about Medtronic Incentive Plan (MIP) on page 6 here.

The provided base salary range is used nationally (except in certain CA locations). The rate offered is compliant with federal/local regulations and may vary by experience, certification/education, market conditions, location, etc.
