Job Description:
The Executive Assistant reports to the Executive Director of the NOVA Educational Foundation (Foundation). This position ensures that the activities of the of the Executive Director and the Foundation are executed and optimally supported with the highest level of professionalism. This position performs a wide range of complex and highly confidential administrative support duties requiring discretion and independent judgment. This is an entry to mid-level position.
Duties and Tasks:
Manages the Executive Director’s daily and scheduled appointments.
Ensures that Foundation leadership is well-prepared, well-informed and well-equipped for meetings and travel.
Manages projects, handles urgent matters, drafts documents, and processes a large volume of work each day.
Responsible for Board support ensuring compliance of Board activities with financial, legal and administrative requirements.
Anticipates needs and proactively solves problems and/or independently handles issues.
Other duties as assigned.
This position is restricted and is funded with non-continuous or non-recurring funding and is subject to continuation based on fiscal year funds and the needs of the College.
Minimum Qualifications:
Knowledge, Skills, and Abilities:
Current administrative principles and practices.
Accounting and finance familiarity.
High level organizational skills and ability to be proactive in completing assignments on time.
Advanced skills in MS PowerPoint or other presentation software.
Strong computer skills and ability to work with various data management and finance management platforms (i.e., Quick Books and Bill.com).
Excellent organizational, planning, and time management skills including the ability to maintain an organized office space.
Ability to manage the multiple facets of events and programs to ensure success.
Ability to anticipate needs, think critically, and offer solutions to problems.
Ability to cultivate positive working relationships and gain the trust and respect of all levels of internal and external constituencies.
Ability to work independently with attention to detail and a sense of urgency.
Ability to coordinate multiple tasks/projects simultaneously and meet deadlines.

Should be able to work limited evenings, and weekends for special events of the Foundation.
Required Qualifications:
Some experience in a fast-paced administrative position .
Significant experience in writing, editing, and proof reading
Significant experience in oral, written, and interpersonal communications
Some experience supervising staff
Some experience reviewing budget information.
Some experience preparing reports by collecting and analyzing data/information in both hard copy and electronic forms.
Some experience using Microsoft Office Suite and Adobe Acrobat .
Preferred Qualifications:
Additional Considerations:
Significant administrative experience supporting business or nonprofit executives or senior education leadership.
Some accounting or financial reporting experience; preference for experience with fund accounting.
Current or prior experience in higher education administration or development.
Some experience with Bill.com, QuickBooks Online, and Blackbaud preferred.
Some experience managing travel arrangements and reimbursements.
Some event planning and execution experience.
