Our Global Information Technology Organization has an immediate opening for a motivated and highly organized Executive Assistant! Reporting to the Chief Information Officer, this person will be responsible for comprehensive administrative support as well as performing general administrative duties in support of the overall IT organization.


Assignments involve work of a confidential and complex nature requiring considerable discretion, judgment and attention to detail. You will have a broad range of responsibilities requiring coordination with internal work groups, senior executives, and external vendors. In addition to administrative office support, responsibilities include creating/revising presentation material, and serving in a key support role for strategic meetings.


A day in the life of a Sr. Executive Assistant:

  • Provide high-level administrative support to the Chief Information Officer, including complex calendar management, high volume email management, constant meeting coordination, domestic and international travel booking, all while adhering to the utmost level of confidentiality.
  • Serve as first point of contact for the CIO’s office with internal and external constituencies and maintain strong coordination and communication among department sub-teams.
  • Prioritize conflicting requests independently and proactively handle matters.
  • Work collaboratively and effectively with the SVP’s under the CIO and their respective teams.
  • Collate topic requests, curate agendas, and facilitate the weekly meetings for the IT Leadership team to ensure effective use of time.
  • Communicate with in-house administrative assistants locally and internationally to coordinate meetings in all time zones.
  • Coordination of events including Quarterly Strategy Sessions, offsite Manager’s Meetings, All Hands Meetings, catered/cafeteria supplied lunches, new hires welcome gatherings, etc.
  • Manage expenses for CIO, including reimbursements, receipt management and collection using Concur.
  • Screen and respond to incoming requests (visitors, telephone, emails, etc.), proactively organize executive’s daily/weekly schedule and actively monitor for conflicts and adjust as needed.
  • Ensure the office is a workable space by managing organization and archival of files, reports, etc.
  • Contribute to preparation of routine & ad-hoc operations documents, reports, and business review materials, using proficiency and creativity with Excel, PowerPoint and Word.
  • Collaborate effectively with Sr. Management Team through their respective assistants and their staff across all business units and global locations to optimize efficiency.
  • Interpret company and internal administrative policies and procedures and implement process improvements as needed.
  • Place orders for office supplies as needed.


What you'll bring:

  • Associate's Degree/Certificate in Administrative Support, Computers or Business required. Bachelor’s Degree preferred.
  • 5-7 years of experience supporting C-level, global executives in a multi-site business environment.
  • Proficiency in preparing executive level presentations using PowerPoint to include importing files from other software platforms such as Excel and Word.
  • Demonstrated organization and project planning skills.
  • Proven ability to multi-task, and exercise good judgment in establishing and reacting confidentially and independently to shifting priorities.
  • Extensive knowledge and proven fluency in MS Office applications (Office, Word, PowerPoint, Web-based applications).
  • Intermediate to Advanced skills in Excel; basic proficiency in database management applications (Access, SAP).
