Executive Assistant - Brand, Product and Affiliated Distribution

The Opportunity

We’re looking for two highly motivated and experienced Executive Assistant's to provide administrative support to four Senior Leaders within the Brand, Product and Affiliated Distribution team! One position will support Distribution Platforms, Readiness and Business Strategy, while the other position will support Product and Flourish.

You’ll be involved in coordinating, planning, reporting, communication, and organization including managing and maintaining calendar activity, coordinating travel, handling incoming calls and emails, and responding to information requests. In addition to daily responsibilities, you’ll also coordinate meetings and conferences with both internal and external sources, compile information from various sources for routine inquiries and reports, analyze data and prepare regularly scheduled reports. You’ll provide backup support to other administrative support professionals as well and anticipate and proactively help manage the daily/weekly activities and needs for the Senior Leaders and their organization.

The Teams

Distribution Platforms, Readiness and Business Strategy

The Distribution Platforms, Readiness and Business Strategy teams are responsible for driving strategy and execution related to distribution, technology, reporting, readiness and change management to support MassMutual’s product, marketing and career distribution organizations.

Product and Flourish

The Product and Flourish teams are responsible for driving strategy and execution related to the development of retail, worksite and investment products for MassMutual affiliated and strategic distribution channels as well as technology solutions for Independent Registered Investment Advisors.

The Impact

This is a multi-faceted role in which you will take initiative and operate in an autonomous way, utilizing a proactive approach to anticipate and fulfill the administrative needs of these Senior Leaders. You’ll have a positive, supportive and professional demeanor working with numerous internal and external partners and team. Our Executive Liaison will have a high attention to detail and strive to deliver high quality product accuracy and organization, be an active partner on our team and will provide backup support to other senior administrative support professionals as needed.

Key Responsibilities Include:

  • Calendar management for Senior Leadership: accept/decline, establish intimate knowledge of meeting requests to prioritize and make decisions on behalf of leaders, and proactively resolve calendar conflicts

  • Prepare and submit invoices/expenses; reconcile and manage department purchase card

  • Schedule meetings, conferences, and events; interface with executive support team to coordinate schedules, reserve appropriate conference rooms, catering orders, prepare room and required materials for meetings’ needs.

  • Prepare meeting agendas, coordinate meetings, and take minutes as needed, including circulating action items for follow-up

  • Compose and maintain reports and documents with little input required

  • Finalize high-level materials; review/edit/format semi-final draft materials prepared by leaders (e.g., communications, letters, PowerPoint slides, Excel exhibits) to produce a polished final product

  • Provides program/project-related support

  • Order supplies and company items needed by co-located and remote employees

  • Proactively identify facility/equipment/system issues; Submits service requests for equipment/system issues; Submits MAC requests as needed

  • Schedule travel arrangements

The Minimum Qualifications

  • At least a high school diploma or equivalent

  • At least 7+ years' of experience in an executive administrative role

  • At least 2+ years' experience working in the Financial Services Industry

  • Proficient working knowledge of both Ariba and Concur system applications

  • Expert knowledge and comfort working with advanced versions of Microsoft Office suite (Word, Excel, PowerPoint)

  • Experience leveraging programs such as PowerPoint, Microsoft Office, Outlook

  • Knowledge of Lean Management, including but not limited to Huddle Boards and Operational Metrics

The Ideal Qualifications

  • Bachelor’s Degree

  • Collaborative approach, performs routine administrative support proactively and demonstrates openness to provide assistance as urgent situations or ad-hoc needs arise

  • High level of attention to detail

  • High level of organizational skills

  • Strong ability to prioritize

  • Strong ability to work autonomously in a collaborative environment

  • Ability to make discretionary decisions within reason

Position Location

  • You will be required to work from either our Boston, MA or Springfield, MA in a hybrid capacity (2-3 days a week)
