Job Description
You will be responsible for:
Day-to-day global operations on behalf of the Office of the CEO, which will include but not limited to scheduling, booking travel, office logistics, supporting the "operating rhythm" of the firm, and contributing to company culture initiatives
Serve as the face of the firm with external stakeholders, including C-suite Executives
Be a leader amongst global peers in aligning Executives
Act as the point of contact among global stakeholders (executives, employees, clients, and other external partners and stakeholders)
Manage the corporate jet
Act as a gatekeeper amongst the C-Suite and board
Manage the schedule strategically to create optimal flow
Coordinate meeting times with attendees, including on-site or off-site logistics, as needed
Create meeting invitations in the calendar that include all relevant information, i.e., attendees, Microsoft Teams link, address, room, agenda, prep materials
Create daily meeting prep docs for Executives
Adjust calendar based on continuous feedback from Executives
Track meeting attendees via calendar invites
Plan leadership team off-sites, team-building events, and quarterly meetings
Rack daily expenses and prepare weekly, monthly, or quarterly reports
Creating comprehensive travel itineraries for Executives
Keep Executives on schedule
Act as a liaison between Executives and onsite staff as required
Keep track of and process vendor invoices
Manage information flow in a timely and accurate manner
The experience you bring:
Candidates must be professional, articulate, discrete, personable, flexible, and have excellent communication skills
Each day will bring a different set of experiences; candidates must be able to adapt quickly
15+ years of experience of assistant support, both as an Executive and Personal Assistant
You are reliable, consistent, direct, and experienced in building trust with stakeholders
Exceptional written and verbal communication
Proven ability to handle confidential information with discretion
You are highly organized and thoughtful with strong customer service skills
Proactive in anticipating, addressing, and resolving potential challenges
You have an ability to problem solve in a fast-paced environment
Eager to make an impact and thrive in a dynamic, hyper-growth environment
High proficiency with Microsoft suite products
Experience working across multiple cultures and global constituents
