Executive Assistant

Provide executive-level administrative support services to the executive team.
QUALIFICATIONS
  • 10+ years’ secretarial/administrative experience, prior experience working for executives preferred
  • Associates or Bachelor’s degree in accounting or administration preferred
  • Excellent planning, problem-solving, interpersonal, and communication skills required
  • Strong organization skills, an ability to multi-task, work under pressure, establish priorities and meet deadlines in a fast paced, changing environment
  • The ability to work in high stress situations and to work with people with driven personalities while maintaining focus
  • The ability to develop and maintain constructive and cooperative working relationships with a wide variety of people internally and external to the Company
  • The ability to exercise sound judgment and discretion and to handle highly sensitive and confidential information
  • Advanced-level Microsoft Office application skills (Word, Excel, PowerPoint)
ESSENTIAL FUNCTIONS
  • Serve as the primary point of contact on matters pertaining to the offices of the executive team
  • Assist and complete the daily tasks and duties directed by the executives
  • Manage and maintain executives’ schedules, appointments and travel arrangements
  • Work closely and effectively with the executives and keep them well informed of upcoming commitments and responsibilities
  • Conduct research, collect and analyze data utilized in reports and documents
  • Prepare presentations, reports, correspondence and other documents often liaising with others in the collection and preparation of the information
  • Prepare meeting materials and interact with other stakeholders as required
  • Arrange and coordinate meetings and events
  • Monitor, screen, respond to and disseminate incoming correspondence, calls and emails
  • Receive and interact with incoming visitors
  • Collect and distribute incoming and outgoing mail
  • Coordinate expense reports
  • Maintain files as necessary for departmental recordkeeping
  • Participate in budget planning
  • Other duties as assigned
