Executive Assistant to the CEO

WHAT YOU'LL WORK ON

As Qualia embarks on the next phase of growth, we are seeking an Executive Assistant to the CEO to help fuel our continued success. The Executive Assistant to the CEO will work closely with Qualia's top executive, supporting him in managing organizational priorities and executing on his vision for the company. The ideal candidate for this role has exceptional communication and interpersonal skills, outstanding work ethic, a strong ability to multitask, and a willingness to learn and develop within a growing organization.

RESPONSIBILITIES

  • Managing the CEO's calendar, travel arrangements, expenses, and communications. This includes scheduling meetings, developing clear meeting agendas, and ensuring timely execution of action items to maximize the CEO's time and productivity.
  • Representing the CEO via phone, email, and chat, engaging with internal and external stakeholders such as business partners, executives, and investors.
  • Coordinating the CEO's personal schedule and assisting in personal matters.
  • Organizing various company-wide and executive events, including all hands meetings, executive team offsites, speaker series, and more.
  • Establishing and fostering cross-functional relationships within the organization and with key external stakeholders.
  • Collaborating on special projects with various members of the executive team.

YOUR BACKGROUND THAT LIKELY MAKES YOU A MATCH

  • Minimum of 5 years of administrative experience supporting CEOs or senior-level executives.
  • Functions as a self-starter who can adapt to and thrive within a dynamic working environment.
  • Cultivates a growth mindset, intellectual curiosity, and high emotional intelligence (EQ).
  • Exhibits excellent professionalism, communication, and interpersonal skills.
  • Possesses strong organizational abilities, attention to detail, and effective problem-solving capabilities.
  • Demonstrates a high level of discretion and maintains confidentiality.
  • Proficient in Microsoft Suite and Google Apps.
  • Nice to have: Experience in a fast-paced startup environment.
