Financial Assistant

Job Summary

Reporting to the Financial Manager, the position is part of a team supporting Harvard College Admissions and Financial Aid Office’s financial operations. The Financial Assistant prepares a full range of financial transactions, ensuring timely and accurate processing and compliance with university policy.

Position Description

  • Prepare a variety of financial transactions in university financial systems, such as purchase orders, vendor payments, and credit vouchers; review purchasing card and expense reports for policy compliance; may prepare reimbursements on behalf of office cardholders.
  • Administer student employee payroll processes, prepare student hires and appointment changes, and coordinate with FAS Payroll and local supervisors of student employees.
  • Assist with developing job aids and training staff on financial policy, purchasing tools, reimbursements and credit card programs, monitoring fund balances and accounts, and student payroll policy and procedures.
  • Assist with the Finance team email account. May serve as a general Finance contact for staff, prioritizing incoming financial requests and correspondence.¿
  • Perform monthly reconciliation of General Ledger; prepare journals and internal transfers.
  • Maintain financial files and records management.

Basic Qualifications

  • High school diploma or equivalent
  • 3 years relevant work experience; education beyond high school may count towards experience¿

  • Excellent interpersonal and communication skills (written and verbal); ability to develop relationships and collaborate with diverse constituents across all levels
  • Demonstrated customer service orientation
  • Strong professional judgment, attention to detail, and ability to handle confidential information with discretion
  • Ability to work well under pressure and be adaptable; strong time management and organizational skills to meet competing deadlines
  • Ability to work independently with minimal supervision
  • Bachelor’s degree preferred
  • Proficiency with office and collaboration tools, as well as administrative systems, necessary

  • Sitting using near vision use for computer use for extended periods of time

Working Conditions

  • This role is part-time (17.5 hours per week).
  • Work may be performed remotely. Any remote work must be performed in a state in which Harvard is registered to do business (such as CT, MA, ME, NH, RI, and VT).
