Event Manager

GROW is hiring an experienced Event Manager to lead our flagship conference series, each drawing 1,000+ attendees.

You must have a minimum of two years’ experience managing large-scale events or tradeshows, with strong organizational and executional skills.

Applicants without this experience will not be considered. We offer a remote working environment – with a slight preference given to candidates based in the LA area.

Please note: this is an independent contractor role (i.e you will receive a 1099 form), not an employee (W-2) role.

Scope of work:

Pre-Conference Responsibilities include but are not limited to the following:

Sponsor Onboarding (POC)

- Send welcome email

- Organize and lead onboarding call

- Cross-check sponsor deliverables

- Collect sponsor assets (logos, taglines, ICP)

- Collect speaker assets (headshots, topics)

- Ensure sponsor/speaker content is posted on LinkedIn

- Ensure sponsor staff ticket details are collected

- Coordinate with VP Ops for drop-off logistics and custom item management

- Coordinate with Belle on final printing

Speaker Onboarding (POC)

- Send welcome email

- Organize and lead onboarding call

- Collect all speaker headshots

- Collect all speaker topics / sessions / full descriptions

Agenda Build

- Create agenda timetable and run of show

- Stage Manager Contractor Responsibilities:

- Curate Engaging Content: Develop session formats, themes, and agendas that are compelling, relevant, and valuable to our target audience.

- Source and Secure Speakers: Identify, vet, and coordinate with high-impact speakers who align with the event’s goals and resonate with attendees.

- Collaborate with Sponsors on Content: Partner with sponsors to co-create content that highlights their expertise while maintaining educational value—strictly avoiding overt sales pitches.

- Ensure Stage Flow and Timing: Manage the run-of-show to ensure all sessions start and end on time, maintaining smooth transitions between speakers and segments.

- Coordinate with AV/Production Teams: Liaise with production staff to align on technical needs, cue points, and presentation logistics.

- Speaker Prep and Onboarding: Brief speakers in advance, confirm readiness, and assist with presentation materials to ensure professional, cohesive delivery.

- Onsite Show Management (if applicable): Oversee live stage operations during the event, troubleshoot in real time, and ensure a polished attendee experience.

- Post-Event Content Debrief (Optional): Provide insights on what worked well and suggest improvements for future events.

- Create full agenda, using speaker topics / sessions / full descriptions

- Manage AV: collect decks, liaise with speakers/sponsors/AV

- Provide run of show and deliverables to AV (e.g., screens, mics, videos)

Set-Up Day Responsibilities

- Create/manage sponsor checklist (signage, kiosks, presentations, tech tables, F&B inclusions)

- Create/manage logistics checklist

- Handle all sponsor/speaker questions

- Verify all sponsor packages have arrived

- Ensure signage accuracy

- Confirm all deliveries are correctly placed

During Conference

- Oversee run of show (main stage, track stage, roundtables)

- Ensure sponsor deliverables are fulfilled

- Ensure all speakers are present and on time

- Greet speakers at AV desk

- Ensure signage is in place for breakfast, lunch, bar, roundtables

- Confirm swag is in correct location

- Keep agenda on schedule / on time

Post-Conference Responsibilities include but are not limited to the following:

Sponsor Follow-Up

- Send post-event thank you emails, survey, and photos

- Distribute all stage recordings & photos
