If you’re ready to join a team that’s as passionate about service as it is about success, Hanna is the place for you.Position Overview:Hanna Interpreting Services LLC is seeking an experienced Executive Assistant to support our President in daily administrative, property management, and office management tasks, freeing them to focus on strategic growth, visionary leadership, and external relations.This role will primarily manage the President’s schedule, email, and administrative responsibilities for both Hanna Interpreting Services and our office building. As a liaison between the President and the Chief Operating Officer, you will play a key role in supporting their combined oversight of our nearly 100 full-time team members.Key Responsibilities:• Executive Support & Management: Proactively manage the President’s calendar, prioritize emails, and handle communication to ensure they stay focused on high-level business activities.• Property & Office Management Assistance: Oversee building maintenance, manage office supplies and facilities, organize common spaces, and ensure smooth day-to-day operations for both the office and building.• Administrative Oversight: Complete various administrative duties, including document management, travel arrangements, expense tracking, and meeting preparation.• Liaison Role: Serve as a bridge between the President, COO, and staff, ensuring smooth communication and follow-up on key projects and initiatives across departments.• Strategic Support: Keep the President on track, providing reminders and preparing them for meetings or events. Act as a sounding board, providing critical feedback and helping them prioritize key tasks.• Project Coordination: Oversee special projects, both personal and business-related, to support efficiency in the President’s workload.• Decision-Making Support: Aid in daily decision-making by presenting well-organized summaries and actionable insights for the President.Requirements:• Experience: Minimum of 5 years as an executive or personal assistant to high-level executives.• Organizational Skills: Superior ability to organize, prioritize, and multi-task in a fast-paced environment.• Property & Office Management Familiarity: Experience in property or office management is a plus.• Strong Communication Skills: Excellent verbal and written communication; a polished, professional demeanor.• Proactive Attitude: Must be comfortable taking initiative, providing candid feedback, and managing up to help the President operate efficiently.• Discrete and Trustworthy: Proven ability to handle confidential information with integrity and discretion.• Tech-Savvy: Proficiency with Google Workspace, Microsoft Office, calendar and email management software, and other relevant administrative tools.Preferred Qualities:• Service-Oriented: A mindset focused on supporting the executive without an emphasis on advancing to a different role within the company.• Detail-Oriented: Ability to catch details the executive might overlook.• Adaptable & Self-Sufficient: Able to anticipate needs and adjust priorities as necessary.Additional Information:Support outside of regular business hours, including nights and weekends, is expected to be rare.
